We are looking for an enthusiastic and detail-driven Finance Officer to join our vibrant team at The Valleys Medical Partnership.
This is a varied and rewarding role at the heart of our organisation, where your skills will directly support the smooth running of our busy GP practice and the care we provide to over 12,000 patients.
From managing payroll, VAT and supplier payments to preparing reports that help shape decision-making, you'll play a key part in keeping our finances on track. Job Summary
The Finance Officer supports the Practice Business Manager and Partners by ensuring the smooth day-to-day running of the Partnership's financial systems.
The postholder will be responsible for:
* Bookkeeping
* Payroll
* Income and expenditure management and ordering processes
* Supplier payments
* Bank reconciliation
* Assisting with the preparation of year end accounts
* Contracts
* Claims
They will play an important role in maintaining financial accuracy, ensuring compliance, and supporting the delivery of high-quality patient care.
Key Responsibilities
1. Financial Management
* Review GMS income statements and remittances, identifying inaccuracies and arranging corrections.
* Monitor and reconcile NHS and non-NHS income, liaising with the Practice Administrator as needed.
* Prepare and issue invoices for practice services (e.g. clinical/non-clinical work, training, GPwSI, tenant rent, room hire, maintenance).
* Ensure timely payment of supplier invoices, HMRC liabilities, pension contributions, partners' tax payments, and VAT.
* Record and code all income and expenditure within the accounts system (IRIS).
* Reconcile bank accounts and manage petty cash.
2. Payroll and Pensions
* Prepare monthly wages, including overtime, ensuring accuracy and timeliness.
* Process superannuation payments.
* Administer the staff pension scheme, ensuring compliance with regulations.
* Provide support to HR processes as required (eg new starter set-up, pay-related queries).
* Respond to employees' pay queries, providing advice, support and guidance where appropriate, or directing to other services.
3. VAT and Compliance
* Ensure VAT is accurately recorded, reported, and submitted in line with HMRC requirements.
* Maintain clear records of VAT transactions for services and supplies.
* Respond to VAT queries and support with any compliance checks.
4. Reporting and Controls
* Produce accurate monthly financial reports for review.
* Support the Practice Business Manager in financial forecasting and partner reviews.
* Support preparation for annual accounts and liaise with external accountants.
* Ensure all financial procedures and controls are followed, raising any concerns promptly.
5. Teamwork and Support
* Provide financial information and guidance to colleagues as required.
* Work closely with the Practice Business Manager, Operations Manager, and administrators to resolve queries.
* Maintain positive working relationships with external stakeholders (NHS bodies, accountants, suppliers, tenants).
* Contribute flexibly to wider administrative tasks when required.
6. Communication and Relationships
* Maintain regular communication with the Practice Business Manager and Lead Partner for Finance on financial matters.
* Liaise with the Operations Manager and employees directly to resolve payroll and overtime queries.
* Work with the Practice Administrator to reconcile income claims.
* Provide clear and timely information to colleagues in relation to financial queries.
* Represent the practice professionally when communicating with external stakeholders.
7. Miscellaneous
* The Finance Officer must always maintain confidentiality, in line with GDPR and practice policies.
