Personal Assistant to Group CEO at Fortus
Location: York office (also available at other Yorkshire sites as needed).
About The Role
The Personal Assistant (PA) will provide high‑level administrative and organisational support to the CEO of Fortus, ensuring the CEO’s time is maximised, priorities are managed effectively, and strategic initiatives are implemented smoothly.
Key Responsibilities
* Coordinate and manage the CEO’s calendar, arranging meetings, conferences, and travel itineraries.
* Proactively anticipate scheduling needs and resolve conflicts quickly.
* Ensure all documents and information are prepared ahead of meetings.
* Serve as first point of contact, screening and prioritising communications.
* Draft, review, and format correspondence, presentations, and reports.
* Maintain confidentiality and exercise discretion in handling sensitive information.
* Organise and prepare for internal and external meetings, including minutes and follow‑ups.
* Coordinate board meetings, leadership sessions, and client events.
* Support team communications, announcements, and CEO‑led initiatives.
* Assist in executing key strategic projects led by the CEO.
* Undertake research, prepare briefing materials, and compile data for decision‑making.
* Track progress on priorities and meet deadlines.
* Arrange national and occasional international travel and ensure efficient itineraries.
* Handle expenses and budget tracking for executive‑related activities.
* Build strong relationships with senior leaders, clients, and external partners.
* Represent the CEO professionally in all interactions.
* Ensure smooth communication flow between the CEO, wider business, and stakeholders.
Skills And Experience
* Proven experience as a Personal Assistant or similar role supporting senior leadership.
* Strong organisational skills, with the ability to handle multiple priorities and deadlines under pressure.
* Excellent written and verbal communication skills.
* High level of professionalism, discretion, and confidentiality.
* Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital collaboration tools (Teams, SharePoint).
* Strong problem‑solving skills and the ability to anticipate needs before they arise.
* Experience within professional services or advisory businesses (preferred but not essential).
