Background
Hartlebury Castle has a fascinating history, with many intriguing stories to tell. Three of its bishops became saints, two were burned at the stake and one became the Pope who refused Henry VIII his divorce. They have amazing stories to tell and their history alongside that of Hartlebury Castle is inextricably linked with the history of the nation.
The estate is owned by Hartlebury Castle Trust, a registered charity. Our purpose is to bring the wonderful stories of those who lived and worked at the Castle to our visitors and the wider public. Working in collaboration with Museums Worcestershire, who operate Worcestershire County Museum, visitors can experience hands-on exhibitions, talking portraits and a beautiful moat walk as part of their day out.
The estate includes a café, shop and let cottages. We also continue to make memories as a unique private function and wedding venue.
This a permanent role and the successful candidate will work closely within a small team. It is anticipated that this will be a part-time role at 18.75 hours per week.
Job purpose overview
To support the trust by managing the accounts function and providing detailed and timely financial information to the Director and trustees. This is the sole accounts role in the organisation. Support for functions including VAT returns, statutory accounts and payroll is outsourced.
Scope
£300,000 turnover
600 transactions per month across the trust and its subsidiary trading company
Key Responsibilities
· Recording Financial Transactions:
Meticulously record all financial transactions, including purchases, sales, expenses, and payments.
· Maintaining Financial Records:
Ensure accurate and up-to-date financial records, including general ledgers, and prepare financial reports, balance sheets and income statements. Prepare detailed quarterly management accounts for the Board of Trustees.
· Managing Accounts Payable and Receivable:
Handle the process of paying bills (accounts payable) and managing payments from customers (accounts receivable).
· Reconciling Accounts:
Reconcile bank statements and other financial accounts to ensure accuracy.
· Payroll Management:
Liaise with payroll bureau to process payroll, check reports, make payments, prepare journal for import into Sage accounts.
· Invoicing and Payments:
Create and send invoices to customers and process payments.
· Budgeting Assistance:
Provide support with budgeting tasks, prepare and maintain excel workbooks, assist with tracking expenditure and identify areas for potential savings.
· Communication:
Communicate with suppliers, customers, and other stakeholders regarding financial matters.
· Compliance:
Ensure compliance with financial regulations and reporting requirements.
Additional Information
Hours of work: 18.5 hours per week based at Hartlebury Castle. The role may also include weekend/Bank Holiday and evening work during events.
Access to site: Due to the rural location of the site and restricted public transport, ideally the post-holder will have access to and use of own transport.
