& SummaryReporting to the Centre of Excellence (COE) Partner, the Office Manager will ensure the smooth day-to-day operations of the COE office, providing administrative support, assisting with the overseeing of the facilities and vendors and enabling teams to work efficiently. The Office Manager will work with the COE Leadership to handle day-to-day management of initiatives and programs balancing hands-on office coordination with process improvement.
1. Assistwith the execution ofmonthly,quarterlyand annual goals and action plansdeveloped for the COE.
2. Provide leadership andadministrativesupport to a team of Compliance Analysts.
3. Maintainwork schedules to ensure sufficient coveragewithin the officeinclusive of absence managementand reporting to HC where non-compliance isobserved.
4. Manage office operations, supplies, equipment, and vendor relationshipsinconjunctionwith theManager, Business Services.
5. Serve as primary point of contact for office-related inquiries and maintenance.
6. Oversee mail,shippingand reception duties (phone, visitors).
7. Work with the IT and Business Services teams to support onboarding for new hires (workstation setup, access).
8. Maintain office policies,proceduresand safety/compliance standards.
9. Coordinate with IT for hardware,softwareand access needs.
10. Coordinate with HCin handlingrecruitment, performancemanagementandemployee relationsmatteras neededincluding conflictmanagement.
11. Drive culture initiatives and team communications; plan team eventsin conjunction with HC and the COE leadership team.
12. Prepare and manage correspondences and or reports asrequired.
13. Identifyopportunities to streamline processes and improve efficiency.
Capabilities and Skills:
14. Proven experience organising and directing multiple teams andordepartments
15. Excellent communicator in written and verbal form with a strong focus on interdepartmental communication.
16. Experience withutilizinga variety of data analytics tools
17. Nimble business mind with a focus on developing creative solutions
Education and minimum years experience required
18. First Degree in Accounting, Business Management or related field
19. ACAMS certification or Project Management certification would be a distinct advantage
20. Five (5) years in managing and or directing multiple teams
