Overview
Brooklands Museum is seeking a highly organised and enthusiastic Events Officer to support the delivery of our high-profile motoring and aviation events. You will work closely with the Events Content Manager, playing a key role in coordinating, planning, and delivering two landmark 2026 events: the Grand Prix Centenary Anniversary and our annual Brooklands Relived event. Working pattern: 25 hours per week, including some weekend working around events.
Brooklands Museum is the birthplace of British motorsport and aviation, and the home of Concorde. The Museum welcomes around 180,000 visitors each year and operates 7 days a week, closing only on Christmas Eve, Christmas Day, and Boxing Day.
Responsibilities
* Work closely with the Events Content Manager to coordinate all aspects of the Centenary and Relived events.
* Act as the main point of contact for all related queries.
* Provide day-to-day administrative and logistical support to ensure smooth planning and delivery.
* Assist with managing schedules, documentation, and stakeholder communication.
* Liaise with suppliers, partners, and external stakeholders.
* Be on-site during the events to support the Events Content Manager in overseeing operations and providing hands-on delivery.
* Wider Events Officer Responsibilities: Administrative Support — Support the Events Content Manager in planning, logistics, and scheduling for the Museum's wider events calendar.
* Maintain and update event documentation such as booking forms, contracts, and risk assessments.
* Track event budgets, invoices, and supplier agreements.
* Assist in coordinating communication between departments involved in event delivery.
* On-the-Day Event Support — Help prepare and set up event spaces, signage, and materials; provide operational support during events, troubleshooting issues as they arise; assist event staff, volunteers, and suppliers to ensure smooth delivery; welcome and support clients, guests, and performers/speakers as required.
* Back-of-House Coordination — Oversee setup and breakdown processes, ensuring equipment and resources are managed effectively; support backstage logistics, deliveries, and access control; ensure health & safety procedures are followed at all times; keep storage areas and event materials organised and ready for use.
* Equity, Diversity & Inclusion — Promote and contribute to an inclusive and welcoming working environment; participate in EDI-related training and initiatives; ensure fair treatment and consideration for staff and visitors of all backgrounds.
