Cambridge Graphene Centre Executive Assistant (Maternity Cover)
The Cambridge Graphene Centre (CGC) seeks an experienced PA/EA to provide maternity cover and join the team based in West Cambridge to provide an executive support service to the CGC Director and Administrators. You will manage a very complex diary to ensure efficient and effective use of time and workload, handle emails/phone/Teams/Zooms, and set up a wide range of internal and external meetings (in person in Cambridge or elsewhere in the UK, EU or worldwide, and online via Zoom, Teams, GoogleMeet, Webex, etc.).
Responsibilities
* Provide executive support to the CGC Director and Administrators, managing a complex diary and prioritising conflicting requirements.
* Process emails, phone, Teams/Zoom calls, and follow up actions daily.
* Plan and manage the schedule of internal and external meetings, including arranging in-person and remote meetings (UK, EU, worldwide).
* Coordinate and plan CGC/CDT/SRI/LMRF related events, meetings, workshops, seminars; prepare agendas and minutes; delegate responsibilities to appropriate operations staff as needed.
* Update databases and schedule all recruitment steps for CGC-related personnel.
* Ensure the smooth operation of the daily schedule for CGC personnel and students, including CGC, CDT, SRI, LMRF and related initiatives.
Qualifications and Skills
* Degree level education or equivalent practical experience as an Executive PA in a highly dynamic environment with experience managing online diaries with hundreds of conflicting requirements.
* Effective communicator who can interact with a wide range of people and maintain composure in a dynamic environment.
* Advanced IT skills with proven experience in Excel, databases and data sharing software, Word, PowerPoint, Outlook, web page management, and similar systems.
Contract and Scheduling
Maternity cover: fixed-term until 31 August 2026 or the return of the post holder, whichever is earlier.
