The role
Southern Housing is hiring a Buildings Document Controller to join our Building Safety team and play a key role in delivering and supporting our multi-year Fire Safety & Prevention Programme (Cladding Remediation).
This is an exciting opportunity for someone who has previous document and information management experience in a construction background and who wants to contribute to the successful delivery of our programme for our residents.
Reporting to the Document Control Lead, you will support the consistent management of project information across multiple remediation projects and contractors, ensuring all documentation is structured, traceable, and securely managed in accordance with Southern Housing’s Information Management Framework, ISO 19650, and Building Safety Act requirements.
Applicants should have proven experience in document or information management and have a strong understanding of regulatory compliance and documentation processes.
This role is offered on hybrid model of work and will be based at our office in Farringdon, London, however, there may be a requirement to travel to other main offices. Specific arrangements will be discussed and agreed with your line manager.
What you’ll be doing:
1. Supporting the implementation of the Programme Information Management Plan, including naming conventions, metadata standards, and document workflows.
2. Ensuring all project documentation is correctly classified, scanned, named and stored in the appropriate repositories (e.g. Viewpoint, SharePoint) in accordance with agreed procedures.
3. Maintaining the integrity of digital records across project stages (RIBA 1–6), including collation of Regulation 38, fire and structural safety, and design assurance documentation.
4. Completing Document Checklists and supporting quality assurance checks for both digital building files and physical legacy client held information.
5. Preparing and submitting monthly document control and progress reports to the Document Control Lead.
6. Supporting the management of legacy building information, ensuring accurate transfer from Project Golden Thread into the corporate Golden Thread system.
7. Providing training support to project teams and contractors to ensure consistent document management practices are followed.
8. Assisting with ad hoc tasks, including supporting Common Data Environment (CDE) configuration, permissions, and user management activities.
9. Ensuring compliance with agreed information governance, retention, and security standards at all times.
10. Promoting collaboration and consistent document management across multiple contractors and internal project teams.
What you’ll need:
11. Proven experience as a Document Controller within a construction, consultancy, or building safety setting.
12. Ability to build strong working relationships with internal and external stakeholders.
13. Experience using Electronic Document Management Systems such as Viewpoint, Aconex or equivalent CDE platforms with the ability to navigate folder structures, apply metadata, manage uploads/downloads, and support end users in following agreed workflows.
14. Strong understanding of information management principles, ISO 19650-2, and the Building Safety Golden Thread.
15. Confident user of Microsoft Office, particularly Excel for data reporting and tracking.
