Job overview
We are currently looking for flexible and hardworking individuals to join our team of valuable and conscientious administration staff within the Emergency Department.
This busy and demanding area offers great job satisfaction and the opportunity to support clinical care.
Key responsibilities
* Data entry of patient demographics and register Emergency Department patients accurately.
* Scan and manage patient records and administrative documentation in real time.
* Book, rearrange and attend clinics, including generating and sending GP attendance letters.
* Assist nurses in rapid registration of ambulance cases and manage transfer of paperwork to relevant departments.
* Identify overseas visitors, verify addresses and ensure appropriate documentation is completed.
* Co‑ordinate ambulance transport and taxis for patients and relatives as requested.
* Prepare patients’ health records for electronic scanning and manage bar‑coding sheets.
* Clean, test and calibrate scanners daily and adhere to policies for archived document scanning.
* Provide cross‑cover for all areas of the Emergency Department, including the Emergency Assessment Unit, Paediatric Area, Stretcher Triage and Reception.
* Respond to enquiries and requests via fax, telephone and e‑mail, and handle complaints on a first‑line basis.
* Support the Trust’s patient activity and meet departmental targets.
Training responsibilities
* Attend all IT training and keep up to date with system updates.
* Attend all Trust mandatory and departmental non‑clinical training.
* Maintain up‑to‑date safeguarding Level 2 training for adults and children.
* Follow records management, information governance, Caldicott, confidentiality and data protection act requirements.
* Attend relevant customer care workshops and personal resilience courses.
Qualifications
* Educated to GCSE level or equivalent qualification.
Knowledge
* Experience of working in an administrative role.
* Experience dealing with the public face to face.
* Experience working in a busy clinical environment.
* Previous NHS clerical experience within an acute setting.
Skills
* Good team worker, supporting colleagues.
* Show initiative, be self‑motivated, work well under pressure and remain calm in difficult situations.
* Good organisational skills.
* Knowledge of data quality, data protection and information governance.
Other
* Flexible working hours/shifts/evening/weekends to meet the demands of the Trust Emergency Care Service.
