Job Description
Thatcher Associates are working alongside an established construction company that has started their search for an experienced Document Controller or Construction Coordinator to support their technical and site construction team on various upcoming projects across the country. You will be based at their HQ in Gloucestershire.
The Role
You will be responsible for all document control and business support on site. The Document Controller will organize project documents, initially assisting on a major multi-million-pound scheme. This is a permanent, site-based position. The role involves coordinating with various departments within the company and external consultants to ensure documents are stored correctly and accessible to relevant parties.
You will also ensure the smooth running and coordination of on-site paperwork and activities.
About You
* Previous experience in Document Management and administration on large development/construction projects.
* Strong organizational skills and experience with effective filing systems.
* Ability to monitor, evaluate, and improve document management systems.
* Good communication skills for coordinating information across departments.
* Willingness to learn new skills; training on relevant design software will be provided.
* Extensive knowledge of systems like 4Projects, Oracle, Viewpoint, SharePoint, or similar.
Main Responsibilities
* Setting up project filing systems.
* Maintaining electronic and hard copy filing systems.
* Checking document quality.
* Monitoring portals, downloading, and printing tender documents and clarifications.
* Preparing inquiries for subcontractors with relevant drawings and paperwork.
* Monitoring processes and producing listings.
* Taking and circulating meeting minutes.
* Performing general clerical duties such as typing, photocopying, and binding documents.
* Handling incoming correspondence and post.
* Managing requests for information and data.
* Answering and directing phone calls.
Previous Experience or Skills Required
* Excellent understanding of computer filing systems, with experience using external IT collaboration systems like Viewpoint or similar.
* Experience with Fieldview software or similar project snagging systems.
* Supporting consultants in their use and implementation of document filing systems.
* Strong organizational skills.
* Experience working with main contractors, construction consultancies, or developers is preferable.
* High attention to detail and ability to work accurately under pressure.
* Excellent IT skills.
* Good written and spoken communication skills.
* Ability to give clear directions when needed.
* Diary management skills.
Qualifications
The role requires a minimum of GCSEs (A-C) or S grades (1-3), including English. A degree or Higher Diploma in a relevant subject is preferred but not mandatory.
