Job overview

The Legacy and In-Memory Fundraising Officer will be responsible for day to day delivery of our legacy and in-memory fundraising activity, with the aim of helping to grow income whilst building strong relationships with supporters and their families.

This is a vital role in helping the Charity build long-term income and deepen its relationships with the community, offering compassionate, sensitive and impactful supporter experiences.

They will use experience and creativity to inspire supporters to give and pledge as well as provide compassionate stewardship. They will be the first point of contact within the organisation for legacy and in memory fundraising and will liaise with colleagues (both within the charity and the wider Trust) and external suppliers (such as memorial tribute online platform organisations, crematoriums, funeral directors, solicitors and financial advisors) to develop exciting new opportunities.

Main duties of the job

Legacy Giving

* Support the Fundraising Manager in developing and delivering the legacy strategy
* Promote legacy giving via events, literature, digital content, and internal engagement.
* Liaise with solicitors and executors to ensure timely income receipt and compliance with regulations.
* Maintain accurate legacy records, pipeline, and reporting on the database.

In-Memory Giving

* Support development and delivery of in-memory giving
* Provide compassionate care and stewardship for bereaved families and individuals.
* Process and acknowledge all IMO donations, ensuring timely reporting and accuracy.
* Build and maintain relationships with funeral directors and other referral partners.
* Produce in-memory promotional materials with the marketing team.

Campaigns & Events

* Lead and support legacy and in-memory campaigns, from planning to evaluation, integrating into wider fundraising campaigns
* Organise supporter engagement and remembrance events.
* Represent the charity at events (evening/weekend ).

Administration & Compliance

* Ensure accurate, GDPR-compliant supporter data management.
* Reconcile and report legacy and in-memory income monthly, liaising with finance.
* Administer legacy files, estates, and related documentation.
* Monitor notifications from all sources and ensure compliance with legal/charity regulations.

Legacy Giving

* To support the Fundraising Manager in developing and delivering a legacy strategy in line with the charity's overall fundraising plan.
* To manage relationships with potential and existing legacy pledgers with a high level of empathy and sensitivity.
* To promote legacy giving through events, literature, and digital content and internal engagement.
* To monitor and manage legacy notifications and liaise with solicitors and executors to ensure timely receipt and accurate recording of income, and make sure any provisos or restrictions relating to the use of legacies are strictly adhered to.
* To maintain accurate records of legacy intentions and pipeline on the charity database.
* To work with the charity's marketing and communications lead to produce copy for the development of any legacy promotional materials required within the agreed budget, including website and newsletters.
* To develop a range of targeted legacy awareness communications and events for prospective legacy pledgers and local solicitors.
* To work collaboratively with charity colleagues and Trust staff to ensure opportunities to fundraise for IMO and legacies are appropriately communicated to bereaved families and friends.

In-Memory Giving

* To support the Fundraising Manager in developing and delivering a strategy to increase income from in-memory giving, including tribute pages, donations in lieu of flowers, and memorial events.
* To provide compassionate supporter care for bereaved families and individuals, ensuring timely acknowledgment and sensitive stewardship.
* To accurately report income from IMO platforms and process IMO cheque donations and acknowledge the same to next of kin or other IMO donors.
* To build and maintain relationships with funeral directors and other referral partners.
* To work with the charity's marketing and communications lead to produce copy for the development of any In Memory Of (IMO) materials required within the agreed budget, including website and newsletters.

Campaigns and Events

* To support and lead on relevant legacy and in-memory campaigns, ensuring they are effectively planned, marketed and evaluated.
* To work with the Fundraising Manager to integrate legacy and in-memory messages across wider campaigns.
* To organise supporter engagement events, such as remembrance events or legacy supporter thank-you receptions.
* To represent the Charity at events as and when required – this will require some working at weekends and/or evenings so a flexible approach to working patterns is needed.

Administration and Compliance

* To ensure supporter data is recorded accurately and securely in line with GDPR and internal policies.
* To maintain up-to-date records of IMO and legacy matters, reconciling and providing updates and reports on income and performance on a monthly basis, and liaising with finance colleagues.
* To administer all the legacy files including: signing receipts, checking estate accounts and raising queries where necessary, conducting regular reviews of all open files.
* To ensure that any legal provisos or restrictions relating to the use of legacies made to the charity are strictly adhered to.
* To monitor and reconcile legacy notifications from all sources, such as Smee and Ford, solicitors, white mail etc. in-line with charity regulations.
* To act as a source of advice on best practice in legacy and in-memory fundraising.

Personal development

* To keep well informed of all Royal Berks Charity activity and the work of the Royal Berkshire NHS Foundation Trust.
* To participate in any specific projects, such as technology improvements or outsourcing requirements and carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post.

Person specificationEducation, qualifications & training
Essential criteria

* Educated to degree level or equivalent relevant experience.
* Detailed understanding of GDPR regulations for the recording and maintaining of data.

Desirable criteria

* Legacy administration qualification, or equivalent experience.

Experience
Essential criteria

* Proven experience of working in a legacy giving role including understanding legacy administration and relevant legal frameworks
* Experience in legacy marketing and fundraising methods, including developing and implementing campaigns
* Experience of in-memory fundraising.
* Experience of analysing data, tracking campaign performance, to identify areas for improvement to maximise income.

Desirable criteria

* Experience of using Harlequin CRM or other database.
* Experience of creating, collating and presenting data to help inform decision making on issues where there may be a number of courses of action.

Skills, Knowledge & Abilities
Essential criteria

* Developed keyboard skills, requiring accuracy and speed to input data into the Charity database and excel spreadsheets.
* Proficiency in Microsoft Office (word, excel, powerpoint, outlook) and fundraising databases.
* Ability to compose accurate written and/or verbal responses to donors, supporters, and other stakeholders where there may be sensitive situations.

Desirable criteria

* Knowledge of fundraising codes of practice and supporting regulations.
