The post holder will have managerial responsibilities for the administration teams which consists of medical secretaries, outpatient reception, medical day case and ED reception. You will be responsible for ensuring the departments day to day tasks are completed efficiently and timely. You will also be responsible for all HR aspects of staffing including conducting appraisals, well-being one to one meetings, highlighting and managing any performance issues and managing and reporting sickness absence.
You will be asked to manage reporting and KPI’s for your teams and feedback to the Administration Manager any areas of concern for escalation.
You will be an enthusiast for delivering improvement. You will be expected to embody UHBW's values and be a visible role model in your leadership behaviours and actions.
You will be expected to establish good, joined up working relations with wider teams within the Trust, such as Access Team, Nurses, Consultants, and service leads/specialty managers

1. Regularly review and initiate any necessary changes to current systems and processes and implement changes to working practices.
2. Support teams in the resolution of patient and clinical queries in relation to the services by liaising with other departments, Clinicians, patients, GP’s, consultants and any relevant outside agencies.
3. Day to Day management of the admin teams ensuring all local and trust policies and procedures are adhered to.
4. To work with the Administration Manager to contribute to the building up of effective teamwork across the teams, exchanging views and ideas which help local initiatives and solve problems.
5. To manage the admin team rotas ensuring there is efficient cover across all areas to be operational.
6. To deal with complaints/grievance both from staff and patients
7. To manage any performance related issues and come up with suitable improvement plans
8. To act as a supportive and understanding role modal for the team.
9. To undertake regular audits of clinical correspondence, missing outcomes and any other relevant KPI’s
10. To monitor absences, sickness levels and deal with appropriately.
11. To deal with all HR related issues, such as conduct and deal with appropriately
12. If necessary, provide cover when there are high levels of absence.
13. To provide the teams with learning and development opportunities and mentor them through these.
