The Role
We're seeking a Business Systems Support Officer to assist our team in maintaining and administering our care management systems. This is a hands on technical role supporting day to day system operations and helping care staff use our digital platforms effectively.
You'll work under the guidance of senior management to keep our systems running smoothly, enter and extract data, generate routine reports, and provide first line technical support to care staff.
Key Responsibilities
System Administration & Maintenance
* Maintain accurate data entry in care management systems on a daily basis
* Input client information, care plans, and incident reports as directed by care managers
* Update resident records and support documentation following established procedures
* Perform routine system checks and flag any technical issues
* Ensure data is entered consistently according to organisational standards
Reporting & Data Extraction
* Generate standard reports for CQC and Ofsted compliance as requested by management
* Produce regular reports on staff training compliance, incident rates, and service user statistics
* Compile monthly data packs using established templates
User Support & Training
* Provide first-line technical support to care staff experiencing system difficulties
* Deliver basic training sessions on how to use care management software
* Create and maintain user guides and quick reference materials for common system tasks
* Reset passwords and manage basic user account administration
Data Quality & Compliance
* Check data entries for completeness and accuracy according to organisational checklists
* Identify and correct data errors or inconsistencies flagged by supervisors
* Ensure records meet GDPR and information governance standards as per company policies
* Maintain audit trails for medication administration and care delivery following established protocols
* Assist with gathering system generated evidence for regulatory inspections
Process Support
* Follow documented procedures for routine system tasks and data management
* Assist in testing new system features or updates under supervision
* Document system processes and workflows as directed by senior staff
* Participate in process improvement projects led by management
Requirements
Experience & Skills:
* Previous experience in a technical support, user training, or system administration role
* Comfortable using databases, CRM systems, or care management software
* Strong IT skills including Microsoft Office
* Excellent communication skills with ability to explain technical concepts to non-technical people
* Patient and supportive approach when helping colleagues who may be less confident with technology

* Knowledge of CQC or Ofsted compliance requirements
* Experience with care planning software or electronic health record systems
* Understanding of GDPR and information governance in care settings
* A-Levels, BTEC Level 3, or equivalent qualification in IT or Business Administration
