Receptionist

Monday - Friday 08:00am - 14:00pm or 12:00pm - 18:00pm

We are seeking a professional, welcoming, and experienced Receptionist to join our team. You will perform reception, administration, and secretarial duties efficiently on behalf of the building.

Your responsibilities include managing access points, maintaining fob access systems, keeping the reception area tidy, handling calls and emails promptly, and sorting incoming mail and packages.

As a Corporate Receptionist, you will manage documentation, open and close the building, maintain security, assist visitors, issue passes, support emergency evacuations, and order supplies.

Ideal candidates will have a friendly manner, professionalism, good communication skills, and IT literacy. The ability to prioritize and work efficiently is essential.


Key Duties

1. Welcome visitors warmly and courteously.
2. Handle incoming calls and inquiries professionally.
3. Assist with meeting room bookings and liaise with relevant staff.
4. Communicate clearly with team members and departments.
5. Check and prepare meeting rooms for use.
6. Report maintenance issues to management.
7. Keep the work area organized and tidy.
8. Anticipate client needs and exceed expectations.
9. Coordinate visitor arrivals and ensure timely escorting or meeting.
10. Keep visitors informed of delays and ensure comfort.
11. Replenish meeting rooms with supplies.
12. Serve hospitality promptly and to high standards.
13. Ensure AV equipment is functional and support its use.
14. Compile and report reception statistics weekly.
15. Maintain stationery stocks and update procedures manual.
16. Follow health and safety protocols and report hazards.
17. Attend health and safety training.
18. Test and record catering and fridge temperatures.
19. Coordinate with first aiders in case of incidents.
20. Report incidents and security issues.
21. Manage visitor lists and parking arrangements.
22. Follow procedures for visiting staff and issue/collect passes.

Experience

* Experience in customer service essential.
* Corporate experience desirable.
* Ability to work independently and in a team.
* Receptionist experience preferred.
