Business Operations Manager

Adamedia are an award-winning video production and content creation agency, celebrating our 10th year in business in 2025. We're a small but highly motivated team with a passion for what we do. Across the last decade we've supported over 170 clients, developing a strong reputation as the trusted go-to provider for media production services in Cumbria and increasingly across the UK. Last year, in support of our expansion, we moved to our new custom-designed media studio offices at Lillyhall in West Cumbria.
We have an increasing client base, expanding workload and service offering, as well as new team members coming onboard – and we need an experienced/talented person to support this expansion.
Job purpose:
The Business Operations Manager role is pivotal in coordinating business activities, supporting team operations, managing client interactions, and helping to grow business opportunities.
The successful candidate will improve the efficiency of the company's daily activities, aiming for a seamless operation, and enable the team to deliver high-quality media production and content creation services to clients.
Duties
The role is wide-ranging and will involve a lot of variety. The ability to take information, analyse, prioritise, and often work on multiple tasks at once is essential - being the central point of contact for coordinating and overseeing day-to-day business activities in three key areas:
Media Production Coordination
* Supporting pre-production requirements and logistics for video/photo projects.
* Engagement, when required, with freelance support team members, such as voice over artist, models, graphic designers – reviewing the best options for a particular job.
* Tracking project progress, providing updates to both our team and our clients, managing budgets and time.
* Working offsite – sometimes supporting on our productions/shoots – including site visits, meetings and coordinating busy filming schedules.
Client Relationships/ Marketing Support
* Supporting the onboarding of new clients and managing ongoing client relationships.
* Looking at new opportunities and supporting business development.
* Setting up client visits, open days, or events on behalf of Adamedia.
* Supporting our own social media channels, e.g. showcasing the work we deliver for our clients (and sharing the team's activities behind-the-scenes).
Associated office support activities include:
* Calendar management and work allocation/prioritisation.
* General organisation around our small office/team.
* Helping to recruit, induct/familiarise new team members, support work-placements.
* Providing direction/updates for the website.
Qualities needed
We're ideally looking for a confident individual with the right experience (10+ years working in similar fields or roles). You need to be able to demonstrate:
* Adaptability – the ability to work in a small, fast-moving team one day, but also being able to self-direct and work individually another day.
* Excellent communication skills – being able to represent our business and on behalf of our clients.
* The ability to multitask – in our small busy team there's always a lot going on.
* Problem solving - able to find workable solutions to day-to-day problems.
* A high attention to detail and a care for accuracy in planning, task execution and reporting.
* Clean driver's license – ability to travel to Lillyhall everyday but also occasional travel further afield when the need arises.
* Maintaining confidentiality with information that is sensitive, personal, commercial.
Desirable but not essential
· Creative experience/skills or a passion for visual content.
· Knowledge of Quickbooks, Xero basic book-keeping.
· A knowledge of social media platforms and practices.
· First aid training.
Time commitment and location
We anticipate the role requiring around, however we're open to discussing the level of time commitment and could be flexible on this for the right candidate. This would be a Monday-Friday role. The role is based at our office at Lillyhall and the expectation is that you will work from here as the default. Once the role is established, some flexible working might be possible, by agreement when appropriate.
We understand that for some candidates, fitting in with the school run may be an important consideration for you, so we're open to looking at options to support this.
The successful candidate will become a fully integrated, valued member of our small friendly team, and there is potential to grow the role (and remuneration) as the business evolves.
Our Offer
£30,000-£35,000 FTE depending on experience + performance related bonus to £5000 FTE.
Remuneration and bonus are pro rata for the anticipated 30 hours per week (£22,500-£26,250 + bonus up to £3,750).
