We're excited to offer a fantastic opportunity to become part of our Procurement & Finance Operations team at Mills & Reeve.


The role

We're looking for a proactive and detail-oriented Purchasing Assistant to support our busy department. In this role, you'll review expense claims accurately, provide administrative support across procurement and finance activities, and contribute to a collaborative team environment.


The person

The ideal candidate has previous administrative experience, is confident with technology, and thrives in a fast-paced, team-oriented setting. Experience in procurement or handling expense claims is beneficial but not essential. Proficiency in Microsoft 365 applications, especially Word, Excel, Outlook, and Teams, is important. You should be organized, logical, able to meet deadlines, and eager to improve processes. Building relationships and taking ownership of tasks are key to success.


The activities


Operational support

* Raise and maintain purchase orders with colleagues.
* Review and process expense claims per firm policies.
* Assist with supplier onboarding and timely payments.


Team collaboration & leadership

* Support team initiatives and stay informed through communications.
* Help colleagues during busy periods or absences.
* Suggest improvements for efficiency.


Data & systems management

* Maintain supplier records in systems like Concur, Risk Ledger, and the Supplier Contracts Database.
* Generate spend reports using tools such as 3E, Amazon Business, and credit card portals.
* Manage online supplier accounts and ensure data accuracy.


Administrative support

* Organize and file documents including contracts and due diligence forms.
* Arrange meetings, manage diaries, prepare agendas, and take minutes.
* Support audit preparations by maintaining supplier data.
