Purpose of Role
We are seeking an organised and proactive Planner to support the smooth running of day to day operations. In this role, you will plan Preventative Maintenance and Reactive works, ensure accurate administrative processing, and contribute to excellent service delivery for both engineers and customers. This is an important position that helps maintain efficiency, uphold service levels and keep systems and documentation up to date.
Job Description
As a Planner, you will be responsible for coordinating planned and reactive works, ensuring all activities are scheduled effectively and completed within agreed service levels. You will work closely with engineers, the Administration Team and Contract Management, providing accurate information, raising job numbers, arranging equipment orders and managing work order backlogs.
You will also maintain high standards of customer service by handling queries efficiently, taking ownership of issues and ensuring information systems remain accurate and up to date. With a strong focus on organisation and communication, you will help support seamless service delivery and contribute to a positive team environment.
Responsibilities
1. Plan and schedule Preventative Maintenance and Reactive works for engineers.
2. Dispatch remedial works in line with contract KPIs and SLAs.
3. Manage work order backlogs and reprogramme incomplete tasks into the system.
4. Arrange tool and equipment orders when required.
5. Maintain filing systems to ensure efficient retrieval of information.
6. Respond to Help Desk requests and provide work updates.
7. Raise job numbers and generate client reports.
8. Communicate daily with the Administration Team, Admin Manager, Contract Management and engineers.
9. Conduct regular quality checks on completed work.
10. Enter and process data accurately in accordance with company procedures.
11. Produce documents including typing, photocopying and scanning to professional standards.
12. Handle customer queries proactively and take ownership of issues.
13. Use initiative to reduce unnecessary engineer call outs through first line problem solving.
14. Support weekend administration tasks when required.
15. Contribute to team briefs, share ideas and assist with team objectives.
16. Identify and promote improvements through effective use of IT systems.

18. Excellent communication skills, both written and verbal
19. Confident working independently and taking responsibility for tasks
20. Ability to multitask and prioritise work effectively
21. Good attention to detail with accurate data entry skills
22. Customer focused mindset with proactive problem solving abilities
23. Strong teamwork skills with willingness to support colleagues
24. Competent IT skills with the ability to use systems to improve processes
25. Ability to liaise with multiple internal stakeholders
