The role will work to provide the evidence and insight necessary to inform and support the development of projects as well as also overseeing initiatives with reach across the institution., Working with the Space Manager taking responsibility for providing advice and guidance on the University's space management processes and procedures to internal and external customers that will have institution wide impacts, advising on the impact of the built space across the University on strategic development plans. Supporting the University by providing a comprehensive space management and planning service. To be responsible for gathering, analysis and providing expert advice on relevant estates strategic moves, informed by both insight and data. Working across the institution, as directed, on programmes and projects that aim to improve the quality, consistency and efficiency of our campuses. Taking a lead in advising and delivering on space planning initiatives and project development across our student's teaching and learning spaces and in places of work for our staff. Undertaking spot space audits, site visits and overseeing the procurement and delivery of larger scale occupancy gathering information such as the annual teaching audit. Ensuring that Estates and Campus Facilities estates management systems are updated, accurate and can be used by services readily as a single source for reporting and use in other systems. In addition to this, employing the data gathered to enable evidence-based planning and decision making.


Responsibilities

* Provide professional advice and guidance on space planning processes and procedures to internal and external customers that will have institute wide impacts, using judgement and creativity to suggest the most appropriate course of action where appropriate, and ensuring complex and conceptual issues are understood.
* Take responsibility for resolving issues independently within space management where they fall within set role objectives
* Investigate and analyse specific issues within space management, designing and implementing data capture exercises, providing information and statistics in relation to the use of space to inform strategic planning.
* Ensure that the provision of data management of estates records information is delivered to the institution, proactively changing the delivery according to customer requirements
* Create and collaborate with specific working groups from colleagues across the University to achieve departmental and university level objectives.
* To plan and deliver specific projects, co-ordinating with project teams created as needed. Taking a lead on all aspects of space planning related to any project or programme of change.
* Establish working relationships with key contacts, developing appropriate communication links with the University's Schools/Directorates and outside bodies as required
* Undertake a variety of administrative duties to support the department in relation to the management of space at the University.


General Duties

* Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties
* Abide by University policies on Health and Safety and Equality and Diversity
* Perform other duties occasionally which are not included above, but which will be consistent with the role, The post holder's direct activities embrace the whole of the University's estate. The role of Assistant Space Manager is an important role within the University. The team's prime objective is to ensure that the University manages its space resources optimally. The post holder has an important role to play in establishing the future functionality of our built estate.


Qualifications

* Degree/NVQ 4 or equivalent experience
* Experience of working within space management.
* Demonstrable experience of operating a Computer Aided Facilities Management IT system and substantial experience of Microsoft packages, project management systems and AutoCAD.
* Customer Service, Communication and Team Working – Ability to communicate conceptually detailed and complex information effectively and professionally with a wide range of people
* Evidence of the ability to explore customers' needs to ensure a quality service is delivered.
* Proven ability to develop networks to contribute to long term developments
* Planning, Analysis and Problem solving – Evidence of ability to solve expansive problems using initiative and creativity; identify and propose both practical and innovative solutions
* Evidence of demonstrable knowledge of key advances and best practices within space planning.
* Evidence of ability to undertake and deliver specific projects and supervise short term project teams,
* Experience of working in a Higher Education environment
* Fluency in Welsh, written and oral


Package & Salary

* Package includes 37 days holiday per year plus bank holidays as well as access to a range of staff discounts. The role is suitable for hybrid working but based in the Estates office on Park Place in Cardiff. This post is full-time and fixed-term for 1 year. Salary: £41,064 - £46,049 per annum (Grade 6)
