Role Overview
Executive Assistant to Chief Operating Officer and Deputy Chief Operating Officer
£25,808.76 per annum; 37 Hours per week; Base: Newfield House, Blackpool, FY4 4EW; operations across all services and geographies.
Key Responsibilities
* Filter incoming mail, sort, redirect, take appropriate action.
* Manage calendars and appointments, ensuring effective use of time and preparation of papers in advance.
* Take minutes and actions; share across the group in a timely manner.
* Research people, events, companies and services as required.
* Use digital tools for efficient working.
* Co-operatively support colleagues in the management team and cover as required.
* Organise internal, external and virtual meetings including booking venues and arranging accommodation.
* Prepare agendas, ensure papers are accurate and disseminated on time.
* Ensure deadlines met for corporate activities and projects.
* Coordinate production and dissemination of correspondence for colleagues within Services.
* Undertake projects on behalf of managers such as events or internal support projects.
* Initial point of contact for the COO and Deputy COO in absence; assess priorities and redirect calls and enquiries.
* Respect unique contributions of every individual and work positively in a diverse environment.
* Prepared for meetings in different parts of the country, possibly evenings or weekends.
* Work in a developing environment and undertake other duties as required for effective operation of FCMS.

Essential Qualifications
* GCSE A* – C including English Language and Maths (or equivalent).
* Ability to work on own initiative with minimal supervision and proactive approach.
* Organised and thorough approach to work.
* Capacity to manage heavy workload and conflicting priorities; track progress on wide range of tasks.
* Excellent typing skills with ability to draft own correspondence.
* Oral and written communication skills.
* High grammatical accuracy and attention to detail.
* Strong working relationships across the organisation.
Desirable Qualifications
* Understanding of project management.
* Digital understanding or commitment to developing digital understanding.
* Knowledge of the NHS.
Essential Experience
* Experience of taking and writing minutes, summarising discussions, and writing reports.
* Experience of using Microsoft Office packages (particularly Word, Excel, Teams, PowerPoint and Outlook).
Desirable Experience
* Providing administrative assistance in an office environment.
* Experience of Microsoft Office 365 including OneNote.
* Experience of using SharePoint.
