Overview:
This role is critical to the successful setup and ongoing coordination of a new venture based in Riyadh, Saudi Arabia. The ideal candidate will have strong operational and administrative capabilities and demonstrate an understanding of local legal and regulatory responsibilities. The role involves integration with AEI's General Manager and management systems, supporting the strategic and practical development of the business.
General Tasks
1. Engage in networking opportunities within AEI's business hub to support the growth of the venture, aligned with the role's operational and administrative duties.
2. Maintain a comprehensive contact list and perform the responsibilities of a Project Coordinator in accordance with legal, regulatory, and ethical standards.
3. Represent 'Unusual' professionally in all external interactions.
4. Support and nurture the company culture, upholding its values and reputation with staff, clients, suppliers, partners, and official bodies.
5. Collaborate closely with AEI's General Manager to ensure alignment with AEI's systems, processes, and broader business strategy.
6. Stay informed and compliant with legal and business regulations relevant to company setup and ongoing operations in Saudi Arabia.
Key Responsibilities
1. Support the rigging and production teams with the day-to-day coordination and delivery of project operations.
2. Monitor and manage operational activities to meet company objectives and client expectations.
3. Act as a liaison between clients and the production team to ensure seamless communication and project execution.
4. Coordinate project tasks to meet delivery timelines and stay within budget.
5. Ensure compliance with company policies, procedures, and local legal requirements.
6. Build and maintain strong client relationships through proactive communication and regular check-ins.
7. Collaborate with the operations department to efficiently allocate crew, transport, equipment, and travel logistics across multiple projects.
8. Quickly identify and resolve issues in operational workflows.
9. Follow and support the development of standard operating procedures for consistency and efficiency.
10. Provide feedback and suggestions to improve operational performance based on first-hand experience.
11. Maintain accurate documentation and operational records (e.g., requisitions, travel info, crew allocations) in appropriate job folders.
12. Undertake training relevant to the responsibilities of the role.
13. Participate in an on-call weekend rota to provide operations coverage as needed.
Requirements
1. Strong organisational skills with the ability to manage multiple concurrent projects.
2. Ability to independently prioritise workload and meet deadlines.
3. Excellent written and verbal communication skills.
4. Proficiency in IT, including Microsoft Office and operational/project management tools.
5. Solid background in administration or operational support roles.
6. High attention to detail and accuracy.
7. Familiarity with legal and regulatory frameworks relevant to business operations in Saudi Arabia is a plus.
