About the Role
The Greenshaw Learning Trust is ‘Always Learning’. We are looking for a dedicated Reprographic & Cover Manager to join our friendly, supportive team at Yate Academy, part of the Greenshaw Learning Trust from September 2026.
This role will require you to supervise the learning of whole classes during the absence of the class teacher and provide a comprehensive reprographics and resource management service to the Academy.
Responsibilities
* Supervise classes during the absence of the class teacher and provide a comprehensive reprographics and resource management service to the Academy.
* Plan, manage and allocate daily cover for absent staff, ensuring appropriate cover work is provided.
* Line‑manage Cover Supervisors and casual supply teachers; support their training and conduct the annual appraisal process.
* Provide supervision of pre‑prepared tasks in classes, ensuring appropriate pupil behaviour and a constructive working environment.
* Handle unforeseen problems or emergencies according to school policies and procedures; report to the class teacher, subject leader or inclusion unit on issues arising from the lesson.
* Supervise pre‑set work as the responsible adult in sole‑charge of a class or group of students aged 11‑16, collecting completed work and returning it to the appropriate teacher or subject leader.
* Respond to student questions relating to process and procedure.
* Cover the day‑to‑day administration tasks associated with tutor roles and differentiate work set so it is accessible to all students.
* Invigilate exams as required.
* When not needed for cover, work with departments on a rota basis on a range of administrative tasks.
* Operate and maintain printing and associated equipment (photocopiers, binding, stapling, laminating machines).
* Operate ICT equipment to produce documents as required, using desktop publishers and other software, and move reprographics forward using ICT.
* Undertake routine maintenance tasks for printing equipment, including taking monthly metre readings as required by equipment maintenance companies.
* Arrange repair of equipment as required.
* Produce a wide variety of printed and copied documents and resources to meet the needs of the Academy.
* Make sure photocopier metre readings are taken regularly to determine departmental usage and pass details to Finance to facilitate further billing.
* Advise and support teaching and other staff on the best methods of producing and publishing their work requirements.
* Cost work as required and report spending to the Finance department.
* Centralise, compile and order resources and materials for the Academy's equipment.
* Ensure value for money when ordering products and materials.
* Design and develop efficient and effective systems for ordering products and materials.
* Maintain the schools’ photocopiers, ensuring all machines are serviced with paper, ink and consumables.
