This is an amazing opportunity for someone who has a strong background in administration and would like to be involved in a frontline service supporting children, young people and adults with disabilities. Your new opportunity This role with the Shared Lives Family Placement and Fostering services is to ensure the smooth running of the panels for both services as well as the smooth running of the general service administration through cooperation with the Senior Panel Administrator. The Panel Administrator will raise matters as they occur to address them in a timely manner to prevent disruption or delay to panel business and have a good working knowledge of systems used for administration in the services they assist and help oversee. There can be many and varied tasks which are time consuming, and the administrator role allows for this. Working pattern: This is a full-time role offering 35 hours per week, primarily based in Glasgow in Quarriers Office in the Calvey Centre, Barlanark. Key Responsibilities Schedule and coordinate regular fostering panel meetings, arranging suitable venues and ensuring all panel members are notified Prepare and distribute documentation to panel members within Scottish legal timeframes Manage sensitive applicant information in accordance with data protection regulations Take detailed minutes during panel/team meetings as needed and produce accurate records of proceedings Liaise with social workers to ensure all necessary documentation is available for panel consideration Maintain comprehensive records of panel decisions and recommendations with Senior Panel Administrator Assist in general service administration in all aspects, such as processing medical reports, invoices/service expenses and receipts, booking training and events, maintaining admin systems for payroll/quality/compliance, documentation systems and trackers etc. Act as a primary point of contact for panel members and applicants regarding administrative matters Required Qualifications & Skills Previous administrative experience, ideally within social care or public sector Strong organizational abilities with excellent attention to detail Proficiency in Microsoft Office applications Exceptional written and verbal communication skills Ability to maintain strict confidentiality Knowledge of data protection principles Experience taking minutes in formal meetings Understanding of Scottish fostering regulations (desirable) SVQ Level 3 in Business Administration or equivalent (desirable) Personal Attributes Highly organized and methodical approach to work Excellent interpersonal skills Ability to work independently and prioritize effectively Capacity to handle sensitive information with discretion and adherence to GDPR Commitment to supporting the fostering process and child welfare Willingness to learn and adapt in relation to large variety of administrative tasks and skills What’s in it for you?
