Orange Property is an award winning construction and property services business based in Brighton. We provide construction and maintenance services across high-end residential and commercial settings, working with both private and public sector clients.
Following strong growth, recent successful tendering, and flourishing client relationships, we are looking to recruit a Projects and Property Services Coordinator to join our expanding team.
The Role
As our Projects and Property Services Coordinator, you'll often be the first point of contact for new and existing clients. You'll play a key role in ensuring incoming enquiries, quotes, and jobs are managed efficiently and professionally.
You'll handle client communications, coordinate quotes, support job managers with ongoing projects, and keep our systems updated so everything runs smoothly.

Key Responsibilities
Communication & Client Care
* Answering office phones and emails, ensuring a professional first impression.
* Handling and updating client records and incoming enquiries.
* Coordinating and chasing information for quotes and site visits.
Quotes Coordination
* Accurate data entry into our quote management system.
* Gathering detailed information to support the quoting process.
* Scheduling and rescheduling site visits as needed.
* Requesting subcontractor quotes and preparing technical drawings.
* Following up on active quotes to ensure timely progress.
Contract Administration
* Reporting back to property managers on completed works.
* Communicating with clients to confirm attendance dates and keep them updated on progress.
* Providing the Contracts Manager with key updates on contracts daily.
* Raising issues as soon as they arise so they can be dealt with swiftly.
* Working with the Contracts Manager to document works accurately for KPI reporting.
* Supporting compliance and performance tracking on contract-related jobs.
Job & Project Support
* Providing office support to managers when they're onsite.
* Assisting with preparation of RAMS (Risk Assessments & Method Statements).
* Developing Operations & Maintenance (O&M) manuals.
* Supporting technical drawings and job documentation.
Office & Business Support
* Assisting the Senior Leadership Team with admin tasks.
* Coordinating office supplies and supporting company marketing (social media, branding, materials).
* Helping with ISO accreditations, compliance, waste management, sustainability, and training.
* Supporting staff wellbeing initiatives and continuous improvement projects.
