Rochester - ME1 1HQ

Full Time

Salary Up to £40k (DOE)



Summary

NG Bailey Facilities Services are recruiting for an experienced Project Administrator to work on our prestigious SETL - South East Trains Limited contract



The successful candidate will be responsible for preparing, processing and coordinating delivery of estimates in line with programme, budget and commercial parameters.



Some of the key deliverables in this role will include:



Prepare accurate and timely quotations for M&E and fabric small works and projects.

Interpret engineer reports, client requests, and site survey data to scope works.

Liaise with subcontractors and suppliers to obtain competitive pricing.

Work closely with engineers to validate technical requirements and pricing assumptions.

Maintain a register of submitted quotes and track status through to completion, Ensure all quoted work is logged, categorised, and referenced correctly within the systems.

Coordinate approval processes for quotes with internal and client-side stakeholders.

Follow up on outstanding quotations and maintain regular communication with clients.

Support the mobilisation and scheduling of approved works, ensuring materials and subcontractors are aligned with delivery plans.

Monitor work in progress for quoted works to ensure timely invoicing and close-out.

Provide weekly and monthly reports on quoting activity, and pipeline forecasts.

Escalate high-value or complex jobs to senior management for review and input.





Working hours:

Working hours are 40 hours per week - Monday to Friday



What We’re Looking For

We're seeking a proactive and detail-oriented Project Administrator with a strong focus on customer service.



Essential:

• Experience in Electrical / Mechanical services, ideally in estimating or quoting roles
• Strong administrative and organisational skills
• Commercial awareness and ability to interpret cost breakdowns
• Excellent communication skills – written and verbal
• Base Knowledge /understanding of either Mechanical, Electrical, and Fabric Building Services

Desirable:

• Awareness of Health & Safety, CDM regulations, and risk assessment processes
• Proficiency in Microsoft Excel, Word, and experience with CAFM systems
• NVQ or equivalent in Business Administration, Estimating, or similar field
