A Digital Champion Administrator is required for ourbusy inner-city practice in a purpose-built health centre.

Experience preferred but full training will be provided.

This is a varied and interesting role supporting theclinical team to deliver high quality care for our patients. Applicants shouldbe enthusiastic, caring and conscientious and be able to work well as part of ateam.

You should be able to demonstrate excellent communicationskills and experience of working in a GP Surgery or customer service would be abonus.

Applicants must understand the principles of confidentialityand be keen to represent the surgery in a sensitive, friendly, efficient andcompetent manner.

The position is part time working 20 hours per week withhours to be discussed at interview. Full time could be considered for the rightapplicant.

Flexibility of hours is essential to meet the needs of thebusiness.

Suitable candidates will be expected to be available forboth mornings and afternoons and for sickness and holiday cover.

About us

We are a modern, friendly family orientated practice andhave around 11000 patients, with 6 GPs offering a mix of routine and urgenton-the-day appointments.

Our nursing team consists of a Lead Nurse, an AdvancedPractitioner and 2 HCAs.

We are a training practice and currently have 4 GP traineesat the practice as well as medical students.

Excellent supportive admin/reception team

We have two GP Partners, a Practice Manager, an OperationalManager and a Reception Team Leader all overseeing day-to -day operations.

We are part of the Clayton, Beswick and Openshaw Primary CareNetwork (PCN) and work collaboratively to deliver key services.

There is on-site parking, and you will automatically jointhe NHS Pension Scheme.

Job responsibilities

The following are the core responsibilities of the postholder however, there may be on occasion, a requirement to carry out othertasks.

Duties and Responsibilities

The post holder must be able to undertake all aspects offront-office reception and back-office administration functions. Duties mayvary according to workload and staffing levels and will be carried out underthe direction of the management team.

Digital Champion Duties

Promote Google reviews, sending links topatients post appointment

Update and manage the practice website inaccordance with compliance regulations

Create informative and engaging posts on thepractices social media accounts promoting health initiatives in a timelymanner

Manage the practices Digital Databank thisincludes attending digital inclusion meetings, updating the spreadsheet andliaising with relevant stake holders.

Play a key role in identifying patients whorequire data inclusion within the community

Providecover at reception during practice hours, including handovers at shiftchanges and covering staff leave or sickness.

Receive,assist and care navigate patients appropriately, either in person or bytelephone.

Telephonecalls are answered promptly in line with the practice protocol

Makeexternal calls on behalf of the practice to patients or external agencies

Managethe appointments system, including triage and booking, amending, andcancelling appointments.

Organiserequests for home visits and appropriate paperwork

Handledifficult / distressed patients with tact and diplomacy

Advisepatients with regards to the practices complaints procedure

Ensurethe patients details are up to date e.g. correct telephone number

Handlepatient enquiries and signpost appropriately to clinicians or externalservices.

Chaperoneclinicians when requested in line with the practice chaperone policy

Maintaina tidy and welcoming reception area, including displays and noticeboards.

Registernew patients and process patient deductions.

Provideclear communication and guidance to patients in line with current practicepolicies.

Administrative Duties

Ensureadministrative tasks are completed in a timely manner.

Manageincoming and outgoing mail, both paper and electronic.

Processand action clinical documents via Docman, including coding and patientrecalls.

Processrepeat prescriptions in line with practice protocols.

Maintainaccurate and up-to-date patient records, including data entry, locatingrecords and re-filing

Orderand monitor office and clinical supplies, including stationery.

Providesupport to the clinical and administrative teams (filing, scanning,photocopying, data input).

Liaisewith EMIS / ICB IT Helpdesk when required.

Requestsfrom colleagues are responded to willingly

Understandthe need for continued training and self-development. Participating in anytraining programme implemented by the practice.

Beaware of security measures within the practice to always ensure patientand staff security.

* Confidential information must only be shared with authorised personnel and within the bounds of applicable data protection policies.

* In accordance with the Health & Safety At Work Act 1974 and other supplementary legislation required to take reasonable care to avoid injury during the course of work and co-operate with the practice and others in meeting statutory requirements.


Qualifications

* GCSE educated
* Good timekeeping and punctuality
* Empathy, compassion and acceptance of others' beliefs and cultures is non-negotiable
* Computer literate in all Office 365 (Teams / Excel / Word etc)
* Good Listening skills and attention to detail and accuracy
* Professional verbal and written communication skills are essential
* Excellent command of spoken and written English
* Able to demonstrate flexibility and adaptability in a changing environment
* Able to work constructively with internal and external parties to resolve issues
* Ability to work under pressure while maintaining a positive professional attitude
* Ability to work as part of the team
* Able to multi-task and prioritise
* Experience working in a GP Practice preferred
* Experience of using EMIS Web preferred
* Understanding of additional languages advantageous
* Knowledge of medical terminology
