Operations Assistant
This is a part-time role – Working days to include Monday, Wednesday and Friday, (flexibility to choose either Tuesday or Thursday as the 4th day) Hours 9:00 – 14:00 (20 hours per week)£25,000 per annum (pro rata)
About Us:
Well established multi award winning family business. We specialise in the design and installation of heat pump systems and associated equipment. Established in 1986 the company employs 24 members of staff. We work with homeowners who are self-building or renovating their property. We also undertake work with small developer firms and builders. We provide after sales services including annual servicing for all kinds of heat pump and a small number of gas boilers.
About the role:
We are seeking a highly organised and proactive Operations Assistant to support our day-to-day business activities. This part-time role is ideal for someone who has experience of working in a busy work environment and who has excellent attention to detail and customer service skills. You will play a key role in ensuring smooth operations across the business by assisting with administrative tasks, and supporting other business functions as part of the wider office based team.
Key Responsibilities
Administrative Support: Deliver efficient administrative assistance by managing daily tasks, maintaining databases and systems, registering new installations, updating customer records, and overseeing health & safety administration. Ensure all work is accurate, timely, and compliant with company policies and industry standards.
Record Keeping: Maintain accurate records in line with MCS guidelines, including timely product warranty registrations and compliance requirements.
Customer Service Support: Liaise with customers where necessary to ensure excellent customer service, answering telephone queries and supporting the service team to ensure a high standard of customer care.
Business & Process Support: Contribute to wider business needs by supporting operational processes across customer service, administration, and marketing.
Operational Assistance: Undertake ad hoc tasks and provide flexible support to ensure the smooth running of daily operations.
Essential Skills & Qualifications
Experience & Qualifications: 1+ years experience in an administrative or operational support role. 5 GCSE passes including English & Maths
Organisational and Time Management skills: A proven ability to manage multiple tasks and prioritise needs to meet deadlines.
Communication Skills: Excellent written and verbal communication skills, good telephone manner.
Digital Proficiency: Experience of using digital systems including Google Workspace and CRM tools.
Attention to detail: A high level of accuracy and a focus on detail with the ability to multitask effectively.
Teamwork & Initiative: The ability to work independently and work on own initiative, whilst also working as part of a team. Provide support as required to other business functions.
