Job Title: Property Manager Assistant
Hours of employment: 9.00AM - 5.30PM
Holidays: 25 days per annum

Main Duties and Responsibilities
Property Management
Support Property Managers and the Head of Property Management with:
* Answering residents' queries and referring to property managers when applicable
* Invoice processing
* Meeting contractors and residents on-site when necessary
* Preparing letters and reports
* Carrying out property inspections as required
* Managing mail (paper & electronic)
* Answering telephones and taking clear messages
* Handling enquiries directly when possible
* Supporting administrative tasks to ensure high-quality service
* Using Microsoft Office software effectively
* Supporting the team in all aspects of service delivery
* Being aware of managers' daily tasks and whereabouts, and taking appropriate action during absence
* Responding to correspondence/emails from Directors, lessees, and tenants
* Contacting contractors and issuing work orders from PMS
* Monitoring contractor performance and following up on jobs
* Managing keys and ensuring their secure return and storage
* Conducting estate inspections and addressing issues raised
* Arranging and attending meetings and inspections
* Drafting and issuing minutes
* Updating the Contractors List and liaising with the Major Works Department
* Ensuring contracts and inspections are in place and up-to-date
* Communicating with lessees and tenants about works and other matters
* Managing insurance claims and liaising with Loss Adjusters
* Updating contract and works schedules in the system
* Following procedures regarding abandoned vehicles
General
* Answering telephone calls and taking appropriate actions
* Processing invoices and works orders
* Producing reports as required
* Performing general filing and paperwork processing
* Supporting other duties as directed
