Headquartered on Harley Street, Bodyset has a network of over 30 sites, mainly in London, with locations across West Berkshire, Surrey, North Lincolnshire, Buckinghamshire, Bristol, Berkshire, Cambridgeshire, Essex, Sussex, Hertfordshire, and Oxfordshire. We collaborate with well-known fitness chains like Bannatyne's, Gymbox, Milo & The Bull, UNIT, and Fitness First.

We are seeking an experienced receptionist to join our team at our newly opened flagship clinic on a fixed-term basis.

You will support the clinical team and handle administrative tasks and patient bookings. As the first point of contact, professionalism, friendliness, a good telephone manner, and excellent customer service skills are essential.


KEY RESPONSIBILITIES

* Meet and greet clients warmly and professionally, directing them appropriately
* Maintain cleanliness and upkeep of the clinic and reception areas
* Open and close the clinic
* Answer, screen, and direct phone calls; take and relay messages accurately
* Handle inquiries from clients diligently
* Manage incoming patient referrals efficiently
* Coordinate patient appointments across multiple locations and support clinical staff with their diaries and admin duties
* Develop service knowledge and provide information to clients
* Maintain accurate client records, billing, and appointments using practice management software
* Support regional clinical teams with patient caseloads and ensure a smooth client journey
* Assist operations with daily business activities, liaising with suppliers and external departments as needed
* Undergo fire warden training to ensure safety and compliance


REQUIRED EXPERIENCE/QUALIFICATIONS

* Exceptional customer service skills with a proven track record
* Polite and confident telephone manner
* Positive, proactive attitude ('can do')
* Proficiency in Excel, Word, Outlook, and practice management software
* Excellent verbal and written communication skills
* Ability to work independently and proactively
* Team player with flexibility to work out-of-hours if necessary
* Calm under pressure and professional at all times
* Healthcare/medical industry experience is desirable
