We're on the lookout for a dynamic and passionate animal enthusiast to step into the role of Head Veterinary Receptionist at our Albavet Veterinary Surgeons.
Role Details
Location: To be based across all 4 of our sites; Burntisland, Dalgety Bay, Dunfermline and Kirkcaldy
Contract: Permanent
Hours: 40 hours per week
Shift Pattern: Monday – Friday between the hours of 08.00 – 20.00, with a share in the Saturday 09.00 – 17.00 rota

About The Role
As a Head Receptionist, you will play a pivotal role in ensuring the smooth operation of our practice. In addition to the regular duties of a Veterinary Receptionist, your responsibilities will include:
Day-to-day Responsibilities Will Include
Team Leadership: Lead and motivate the receptionist team, ensuring high standards of client service are consistently met
Training and Development: Mentor and train new reception staff, providing guidance and support to help them excel in their roles
Scheduling Oversight: Manage the reception team's schedules to ensure adequate coverage during operating hours
Quality Control: Monitor and review the quality of interactions between reception staff and clients, offering constructive feedback and solutions for improvement
Conflict Resolution: Address and resolve any conflicts or issues that arise within the reception team or with clients, ensuring a positive outcome
Policy Implementation: Ensure reception policies and procedures are followed and updated as needed to align with practice goals
Inventory Management: Oversee the ordering and stock levels of reception supplies, ensuring the front desk operates efficiently
Relationship Building: Cultivate strong relationships with clients, fostering a welcoming and professional environment
Performance Reporting: Prepare and present regular performance reports to management, highlighting areas of success and opportunities for growth
Additional Day-to-day Duties Of The Role Will Include
Manage Communication: Handle incoming calls and schedule appointments efficiently
Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
Client Reception: Greet and register new clients, ensuring a warm welcome
Insurance Management: Process and manage insurance forms adeptly
Medication Distribution: Dispense medications as required
Financial Transactions: Process payments accurately and efficiently
Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
System Utilisation: Organise patients using the in-house system efficiently
Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
Client Care: Above all, ensure that every client feels welcomed and valued at our practice
Who We're Looking For
Previous experience as a Receptionist is a must; experience in a veterinary setting is a bonus
Leadership skills in a similar role would be ideal
Resilience and the ability to handle emotional situations with grace
Strong communication skills paired with genuine empathy
Outstanding customer service skills and experience with the public
Positive attitude and superior teamwork abilities
Proficiency in Microsoft Office and database systems
