Purpose of the Role
We are seeking a friendly, organised, and professional Receptionist / Office Administrator to be the first point of contact for our visitors, clients, and staff. This role is key to creating a welcoming environment and monitoring visitor access for security purposes while ensuring smooth front‑of‑house operations.
Person Specification
* Experience in a reception or client‑based customer role
* Excellent written and verbal communication skills and strong interpersonal skills
* Proficient in MS Office
* Ability to multitask, prioritise and work under pressure
* Attention to detail
Key Responsibilities
* Greet and welcome visitors in a warm and professional manner and ensure they receive security passes and, where required, local induction to the building.
* Monitor visitor access, report security incidents and maintain knowledge of emergency procedures.
* Manage incoming and outgoing mail, deliveries and courier services.
* Handle, answer, screen and direct telephone calls efficiently.
* Keep the reception tidy, professional and presentable.
* Maintain housekeeping of meeting rooms and ensure catering is ordered where required.
* Order office supplies as requested by Rail Services staff.
* Produce identification cards for staff employed by Colas Rail Services.
* Serve as point of contact for contractors and liaise with the Head of Property for building maintenance.
* Adapt to operational changes and meet the organisation’s evolving requirements.
* Perform any other reasonable duties as required.
