We have an exciting opportunity for a pro-active individual with a can do attitude. This position may ideally suit an individual currently working in an admin type role or someone starting out who has Microsoft suite capabilities i.e. – word, excel, P/P.

JOB TITLE: ADMIN ASSISTANT
KEY RESPONSIBILITIES:
1. Take personal responsibility for safety and adhere to Petrofac’s “Nine Life Saving Rules”.
2. Contribute to Deployment Hub strategic plan to achieve business excellence
3. Carry out Root Cause Analysis (RCA) on queries and identify relevant solutions
4. Follow up on issues with the relevant functions to ensure issue is being resolved
5. Complete and provide reports for the business within the relevant business systems i.e.PBi
6. Carry out expense audits timely and identify improvements within this process
7. Implement Continuous Improvement solutions based on data analysis
8. Support the onboarding process for offshore employees including direct access for all systems, carrying out troubleshooting and working with IT management to address issues
9. Support the development and implementation of the onboarding process for Deployment Hub employees
10. Participate in the on call rotation
11. Support the implementation and improvements to Standard Work Instruction based on feedback and data analysis

ESSENTIAL QUALIFICATIONS AND SKILLS:
14. Ability to capture and analyze data and group in themes
15. Ability to understand how the reoccurring themes can be prevented
16. Working knowledge and experience of HR, recruitment, pay / expense systems and tools preferably within Petrofac but not essential
17. Experience of using Excel or other similar tools to capture and manage data
18. Fluent in use of excel for reports including use of graphs and pivot tables
19. Experience of Power Bi dashboards and analysis of data
20. Ability to work in a fast-paced environment and work efficiently with high volumes
21. Ability to work on own initiative
22. A proactive attitude and aptitude for taking on tasks
23. Ability to work as part of a wider team
24. Ability to organize and prioritize workload
25. Ability to solve problems efficiently and communicate results
