Job Title: Receptionist Administrator Location: Sevenoaks, Kent (TN13) Contract Type: Permanent Start Date: ASAP Working Pattern – Job Share Job Purpose We are seeking a professional, organised, and detail-oriented Receptionist Administrator to join our Facilities team. You will act as the first point of contact for residents, visitors, contractors, and staff, while providing high-quality administrative support to ensure the smooth day-to-day operation of the service. This role is offered as a job share, with two Receptionist Administrators jointly covering the service. One post covers mornings and the other afternoons. Applicants must be flexible and willing to provide cover across both shifts when required, particularly during periods of annual leave, sickness, or other absences, to ensure continuous reception coverage. Morning Shift Monday to Friday, 8:45am – 12:15pm 17 hours 30 minutes per week £12,585.34 per annumAfternoon Shift Monday to Friday, 12:15pm – 4:00pm 18 hours 45 minutes per week £13,304.50 per annumResponsibilities Deliver a professional and welcoming reception service, ensuring all enquiries are signposted to the appropriate department. Manage visitor sign-in procedures, issue passes, and maintain accurate records. Handle incoming and outgoing post and deliveries, including ordering stationery and cleaning supplies. Provide general administrative support, including data entry, filing, and photocopying. Manage and respond to enquiries received via email and the ticketing system in a timely and professional manner. Communicate effectively with teams across the organisation using systems such as Microsoft Teams and Outlook. Create, organise, and maintain accurate records and documentation in line with data protection legislation and internal policies. Support Health & Safety compliance, including inductions, new starter processes, and training records. Collect and collate data across the business to support monthly Health & Safety performance reporting for the Executive Team. Assist with the management, issuing, and logging of garage keys to residents. Provide support during emergency situations, such as fire evacuations. Role model West Kent’s values at all times. Undertake any other reasonable duties appropriate to the role. Essential Skills and Experience Excellent written and verbal communication and interpersonal skills. Strong organisational skills with a high level of attention to detail. Ability to manage multiple tasks, prioritise effectively, and work to deadlines. Good IT literacy, including Microsoft Word, Outlook, and Excel. Previous experience in a reception or front-of-house role. Strong customer service ethos. Ability to work both independently and as part of a team. A friendly, proactive, and “can-do” attitude.Desirable Understanding of Health & Safety at Work.
