We are a leading law firm, based in Glasgow City Centre and recruiting an administration apprentice to provide flexible pro-active administrative, and secretarial support (including audio typing).\n\nKey Duties\n1.\tTo work with colleagues in the admin team to ensure:\na.\tAll incoming and outgoing mail is collected, opened, franked, scanned and delivered daily. Department mail trays to be checked regularly throughout the day.\nb.\tRequests to the shared support in-box are actioned in line with agreed internal response times as prioritised by line manager:\nc.\tLocation of archived (including offsite files) is accurately recorded and managed in line with fee earner requirements, and can be retrieved quickly\nd.\tOffsite files and shredding requests are timeously\ne.\tShredding bins are monitored to allow additional uplift requests to be made if required\nf.\tPhotocopy documents as requested \n2.\tTo assist cashroom with collating volume invoices eg Sheriff Officers fees\n3.\tTo provide additional support for reception (including overflow calls) as required. Calls must be answered promptly in accordance with agreed standards. \n4.\tTo produce documents, maximising available IT (LawWare, Word, Excel and Powerpoint):\na.\tIn the style and layout required by their authors; \nb.\tAttaching copies of outgoing documentation to the relevant paper file at time of production;\nc.\tTime recording in accordance with instructions.\nvia the LawWare document management system, ensure they are signed by a partner by pre-determined deadlines.\n5.\tTo carry out general office âhousekeeping tasksâ as required throughout the day\na.\tMaintain photocopier paper levels to meet departmental requirements\nb.\tCheck toilets daily to ensure levels of paper towels and soap are maintained at appropriate levels.\nc.\tMilk, tea and coffee supplies \nd.\tDishwasher to be filled and emptied (daily)\ne.\tPrepare meeting rooms and provide/arrange hospitality, ensuring preparation areas and meeting rooms are kept clean and tidy. \nf.\tAssisting with any facilities tasks, including internal office moves\n6.\tTo carry out local deliveries as required.\n7.\tTo reproduce plans, colouring as required to ensure it accurately reflects the original.\n8.\tTo adhere to stated policies and procedures as per the firmâs employee handbook.\n You will learn how to use our in house bespoke IT systems and data bases, how to communicate in a busy office environment and how to manage your workload. \nYou will also learn about customer service, diary management and GDPR. Must have 5 National 5s, including English\nWorking knowledge of Microsoft Packages and IT literate. Ideally have some basic work experience.
