Job Title: Helpdesk Assistant
Salary: £12, - £14, per annum
Contract: Permanent, Part Time
Weekly Contractual Hours: 20
Location: Woodview Community College, Lancaster Gardens, Whitleigh, Plymouth, Devon, England, PL5 4AA

Job Information

1. To be responsible for ensuring all helpdesk jobs are input on to the helpdesk system and issued to the relevant section in order for completion of task to be within contractual timescales.
2. To be responsible for ensuring all administration and supportive functions for the Contract(s) are effectively and efficiently carried out.
3. To provide assistance on all aspects of policy and procedures within MITIE PFI Limited and to support the Facilities Manager and Contract Manager.
4. To provide support and assistance to the Facilities Manager and Contract Manager with regards to monitoring of financial spend against budget.
5. To provide assistance to the Facilities Manager and Contract Manager in all aspects of their role to ensure that financial and strategic targets are achieved within the Contract(s).


Main Duties

6. To be responsible to inputting all tasks on to the helpdesk that are raised by the client and Mitie internally. Also ensure that all tasks are monitored and managed in order for the contractual targets to be achieved.
7. To be responsible for the co-ordination of all administrative tasks on behalf of the Contract(s) which will include the setting up of Contract specific procedures and processes as required.
8. To assist the Contract Manager in the preparation of reports for the Client, SPV or Senior Management Team.
9. To monitor, track and chase all aged debt and report updates to the Contract Manager and Account Manager.
10. To be responsible for the administration function for free school meals/paid meals and all third party lettings in order for the Contract Manager to be able to invoice to the client.
11. Liaise with Internal and External Auditors and assist the Operation Team in the successful completion of all internal and external audits.
12. Attend monthly meetings as required on behalf of the Contract.
13. To be responsible for the collation and management of information for all services for which MITIE PFI Limited are responsible for within the Contract as directed by the Facilities Manager and Contract Manager.
14. To undertake and liaise with Sub-Contractors as and when required in order to gain quotations, resolve queries and to undertake financial reconciliations for the Contract.
15. To carry out any reasonable management request as dictated by the needs of the business.


What we are looking for

16. GCSE passes in Maths and English are a requirement.
17. Relevant experience in administrative functions within a commercial/business environment.
18. Experience in administrative work, financial reconciliations, data input, processing of invoices, general administrative duties and reception duties.
19. Confidence and commitment to providing a high quality, professional service.
20. Ability to provide professional direction to internal and external customers.
21. Excellent written and verbal communication skills
22. Ability to prioritise workload.
23. Adaptable and flexible approach to work.
