Show Coordinator (Fixed Term – Six Months)

Reports to: People Operations Manager
Role Overview:
As the Show Coordinator you will play an essential role in supporting the team in key areas in preparation for the Live Shows. You will be part of the People Operations team, working closely with the Show department & casting team. By handling administrative tasks, facilitating communication and ensuring a seamless audition & onboarding process for principal cast members, this role will work closely with the Casting & Show Director & People Operations Manager.
Key Responsibilities;
Your responsibilities will include, but are not limited to:
* Maintain departmental inbox and action any queries, or forward to People Operations Manager for escalation, with a quick turnaround time during audition phase particularly.
* Assisting in pre-audition processes for new applications, including writing email templates and workflow adjustments within the ATS.
* Produce daily registers for the Casting & Show Director for each day of auditions.
* In the room support for auditions, conducting the check-in desk and following up individually with no shows, rebooking audition slots if required.
* Updating the ATS with accurate data from auditions, such as attendees, reschedules and no shows.
* Working with the People Operations Manager to send role offers out through the system one by one, overseeing queries coming into the inbox which might prevent acceptances so a timely response is required.
* Updating Show Operations recruitment matrix once a contract has been signed, ensuring the Casting & Show Director has full oversight of progress with casting at all times.
* Ensuring cast members are integrating over to the scheduling & payroll system correctly, ensuring they are fully onboarded in line with right to work procedures ready for the scheduling phase.
* Working with the Casting & Show Director to prepare physical resources for training & rehearsal period for the live shows, including creating electronic materials, and ensuring anything physical required is procured in time.
* Support recruitment for the wider Show Operations management team, coordinating & scheduling Teams interviews with candidates and sending offers through the ATS.
* Collate a comprehensive accommodation pack for each territory to assist cast members who relocate for the role, reaching out to local accommodation providers for any preferential rates where possible.
* Assist in updating & maintaining budget information in real time with accuracy.
* Be the first point of contact for all external queries for cast members.
Role Requirements
* Experience in a coordinator or administration role is beneficial.
* Competent user of Excel & learning new systems.
* Excellent communication skills, both written and verbal.
* High attention to detail and comfortable working to deadlines.
* Ability to work well in a team environment, with a positive attitude.
* Proficient in Windows & Microsoft applications, as well as being comfortable learning & using staffing software applications.

Salary – £30,000 pro rata
Start Date - March 2026
