Purpose of Role
We’re seeking an Document Controller who not only excels at managing project documentation within a Common Data Environment (CDE), but who also brings experience with ACONEX and an interest in supporting design coordination across our growing residential portfolio.
Job Description
You will be responsible for managing, maintaining and quality-checking all published design documentation within our project CDE environment, ensuring information is accurate, aligned with VCUK standards, and easily accessible. This includes setting up file structures, security permissions, workflows, and overseeing the flow of incoming and outgoing design information.
In addition to supporting project teams, we are also looking for someone who can bring ACONEX expertise, helping optimise digital document management on residential projects, and who would enjoy contributing to design coordination activities, working alongside our design managers to track submissions, ensure compliance and help keep design deliverables on programme.
Responsibilities
• Manage and maintain all design documentation across shared, published and archived areas of the CDE.
• Implement project file structures, security rights, workflows and user permissions.
• Validate metadata, check approval status and ensure all documentation meets quality and compliance standards.
• Maintain hard-copy and digital records of drawings, O&M Manuals, As-Built information and H&S files.
• Monitor document flow, identify non-compliance and provide guidance to project teams.
• Print and distribute design documentation as required.
• Capture best practice and contribute to continuous improvement across document control systems.
• Support users of the CDE by providing training and day-to-day assistance•.
Essential Qualifications/Skills
We want someone who is confident, organised and proactive—someone who thrives in a structured, process-driven environment and enjoys working collaboratively with project teams.
• Experience managing documentation within ACONEX and/or other CDE platforms.
• Strong understanding of document workflows, approval processes and drawing management.
• Excellent attention to detail, organisation and record-keeping.
• Confidence coordinating with designers, engineers, site teams and external stakeholders.
• A willingness to support additional design coordination duties within our residential team.
