We are seeking an experienced, highly organised and resilient Medical Secretary to join our growing team within a fast-paced private healthcare environment.
This is not an entry-level role. Clinics are busy, expectations are high, and attention to detail is critical. We are looking for someone who takes ownership, works proactively and maintains high standards under pressure.

The Role
You will be responsible for managing consultant clinics end-to-end, ensuring everything runs smoothly and professionally.
Main duties will be:
* Answering incoming calls for your designated consultant, along with handling overflow calls for other secretaries within the team
* Managing complex clinician diaries
* Booking and co-ordinating private patient appointments
* Handling high volumes of emails professionally and efficiently
* Proof-reading and sense checking AI-transcribed medical letters
* Liaising with hospitals, clinics, and other healthcare providers
* Taking payments over the phone and resolving general invoice queries
* Supporting clinicians during their clinic days and being on-hand for anything that may crop up
* Maintaining accurate and confidential patient records
* Stock check of medical supplies (we keep blood/sample bottles in the office)
You will also be expected to support team members where needed — we work collaboratively and expect everyone to pull their weight.
Working Arrangement:
Monday-Friday 08:30-17:00pm (no weekends or bank holidays)
Hybrid working may be considered after successful completion of probation and once fully embedded within the role.
Requirements
* Minimum 2 years' experience as a Medical Secretary or in a similar administrative role
* Experience in private healthcare (desirable but not essential)
* Familiarity with medical terminology
* Strong written and verbal communication skills
* Familiarity with practice management systems (ideally Carebit)
* Ability to handle sensitive information with discretion and confidentiality
* Excellent attention to detail and accuracy
* Confident managing multiple tasks in a fast-paced environment
* Able to work independently and take ownership of workload
* High level of professionalism and discretion
