We are currently recruiting for 2 x Full Time Workshop Administrators to join the team at our main Ballyclare Dealerpoint. Working hours will be 8:00am to 4:30pm or 9:30am to 6:00pm. About The Role Key Role Duties & Responsibilities: Ensure accurate daily recording of technician clock times using appropriate codes Monitor and report on technician punctuality and absence Load holidays into workshop planning system to ensure accuracy of available hours Receive and vet/quality check technician job packs raising any issues and following up on these Regular monitoring of workshop planning system throughout the day and challenging technicians and supervisors as necessary on job times Provide the service advisor team with regular updates on vehicle progress through the workshop Liaise with all departments on creation and follow through of repair quotations ensuring all additional work is reported and authorised Liaise with service advisor team regarding breakdown technician clock times and report on non-compliance Monitor and report on breakdown activity Liaise with service advisor team and training team to ensure technician availability for training & time clocking for this Completion of customer invoicing as and when required Ad hoc administrative and reporting tasks as requested by Workshop Manager or Depot Manager Required Criteria Experience in an administrative role within a workshop, automotive, transport, engineering or similar environment Must possess excellent organisational, prioritisation and administration skills Can work methodically within defined processes and pay attention to detail Be able to manage time efficiently and work to set deadlines whilst effectively managing multiple tasks and priorities Be able to work effectively and accurately with numbers, invoicing and technical documentation and terms Possess a strong commercial focus to contribute to the effectiveness of the overall business Possess strong IT skills and be confident and proficient in the use of Microsoft Office packages Must be an effective and supportive member of a high performing team that pro-actively supports others to achieve the overall targets Understand that different situations and levels may call for different skills / approaches, enjoys the challenge on unfamiliar tasks and is open to change Must possess the drive to identify or anticipate future challenges or opportunities and take preventative measures to avoid problems Can communicate (written & verbal) both internally and externally in a coherent and professional manner at all times Must be open and honest and work at all times with integrity Desired Criteria A strong understanding of heavy vehicle workshop processes and procedures and familiarity with associated technical terminology and parts would be highly desirable Experience of using workshop planning/management systems would be desirable Skills Needed Customer Relationship Management, Problem Solving, Administrative skills About The Company Join the Dennisons Team: A Legacy of Excellence in Commercial Vehicles Dennisons, a family of businesses united in offering superior services in the commercial vehicle industry, invites you to become part of our story.
