Guildhall School of Music & Drama is seeking a proactive and highly organised Student Services Administrator to support the Head of Student Services and the wider Student Services team. This is a front-facing, office-based role, ideal for someone passionate about delivering excellent customer service and maintaining high standards of administrative support.
Key Responsibilities
* Administrative Systems & Data Management: Develop and maintain databases, spreadsheets, and electronic systems (e.g. SITS, CBIS). Ensure accurate data collection and reporting for statutory returns (e.g. HESA). Provide data for FOI requests and internal reporting.
* Student Support & Front-Line Services: Manage enquiries from students, staff, and applicants. Triage students and provide initial support, including Mental Health First Aid. Schedule appointments and liaise with counsellors and Student Services staff.
* Counselling Service Coordination: Act as first point of contact for the counselling service. Track student engagement and monitor risk levels. Train new counsellors on systems and processes.
* Case Management System Oversight: Train staff on Symplicity and maintain best practices for its use.
* Financial & HR Administration: Monitor departmental budgets and process financial transactions. Administer purchasing systems and liaise with Finance and HR. Manage Emergency Support Fund and Henry Wood Fund.
* Meeting & Event Support: Organise Student Services meetings, prepare agendas, take minutes. Represent the department at open days and liaise with other teams.
* Customer Service & Communication: Respond professionally to calls, emails, and correspondence. Handle sensitive and confidential information appropriately.
* You'll be expected to attend occasional meetings and events outside normal working hours. The role requires a strong understanding of data accuracy, confidentiality, and financial regulations. You'll play a key part in shaping and improving administrative procedures across the department.
