The Opportunity
We're looking for an experienced and motivated Senior Clinical Administrator to join our small, friendly, and dedicated administration team. This is an exciting leadership role where you'll oversee our administrative operations and support the professional development of our team.
Key Responsibilities
Team Leadership
* Oversee the administration team and support practice operations, ensuring staff meet their core responsibilities
* Line manage all administrative staff, supporting their development and providing clear guidance and direction
* Manage workload delegation fairly and ensure rotation to enhance team knowledge and skills
* Complete annual appraisals for all admin staff with support from the Management Team
* Ensure all staff are up to date with mandatory training and identify additional training needs
Operational Management
* Compile administration staff rotas and manage holiday requests
* Ensure efficient and effective work completion with adequate cover for absences
* Train new team members to ensure data safety, accuracy, and compliance
* Review and update administrative and reception policies and standard operating procedures
* Develop, implement, and embed efficient office processes that comply with legislation and practice protocols
Communication & Co-ordination
* Chair regular administration team meetings to identify issues early and escalate concerns
* Attend or ensure departmental representation at daily multidisciplinary meetings
* Take and disseminate meeting minutes to all practice staff
* Co-ordinate with community and hospital services to resolve complex queries
* Provide initial guidance to patients wishing to make verbal complaints
Quality & Compliance
* Ensure the administration team adheres to all Practice policies and CQC regulations
* Identify and manage workload pressures for yourself and the department
* Raise IT faults with appropriate support providers or Management Team members
* Work collaboratively with the Management Team as required
* Lead by example in all aspects of the role
What We're Looking For
* Proven experience in a senior administrative role, ideally within a healthcare setting
* Strong leadership and people management skills
* Excellent organisational abilities with the capacity to manage multiple priorities
* Knowledge of NHS systems and procedures
* Understanding of data safety, confidentiality, and compliance requirements
* Exceptional communication and interpersonal skills
* Ability to work independently and as part of a team
* Proficiency with IT systems and practice management software
