Job Description
The HSEQ Administrator role will support the development, coordination, and administration of key business support functions within the Health, Safety, Environment and Quality department. With a primary focus on Quality and Compliance requirements main duties will involve Document Control, Training Support, Data collation for HSEQ and ESG reporting, and supporting with Management System tool maintenance and training.
* Document Control – Support with the management, communication and maintenance of documents, from approval to distribution and review.
* Training - Monitoring of training expiry, arranging training and coordinating attendance with personnel.
* Management System – Supporting the maintenance of our Integrated Management System (IMS) and supporting compliance with company standards, industry accreditations, and client requirements.

The HSEQ Administrator will also provide support to the Health and Safety team, supporting with supplier and contractor onboarding, monitoring project site folder setup and supporting employees with training on and use of specific internal software systems.
The successful candidate will be highly organised, detail-oriented, capable of managing multiple tasks in a fast-paced organisation and adept in learning, using and supporting use of different software applications.
Job Requirements
Essential:
* Previous experience in an administrative or coordination role
* Strong organisational and time management skills
* High attention to detail and accuracy
* Experience maintaining records, databases, or tracking systems
* Good communication and interpersonal skills
* Proficiency in Microsoft Office (Excel, Word, Outlook)
* Ability to manage multiple tasks and priorities
Desirable:
* Experience in training coordination or learning & development
* Experience working within a Quality, H&S or compliance environment
* Knowledge of ISO standards such as ISO 9001, ISO 14001, ISO 27001 or ISO 45001
* Experience working within construction, utilities, or ICP environments
* Familiarity with NERS or similar accreditation schemes
Job Responsibilities
* Support the control and maintenance of IMS documentation, ensuring obsolete documents are removed from circulation
* Ensure documents are correctly version-controlled, approved, and distributed
* Support employees to maintain compliance with company procedures and standards
* Support continuous improvement initiatives driven from Inspections and Audits
* Assist in ensuring employees hold required training and certifications for their roles or assigned activities (e.g. NERS, safety training, iHASCO training)
* Create/Maintain Excel training matrices to meet internal and client requirements
* Monitor training expiry dates and proactively schedule refresher training
* Identify training gaps and escalate risks to management
* Support the development of training plans aligned with business and compliance requirements
* Book internal and external training courses, liaising with training providers to arrange courses and manage attendance
* Coordinate new start joining instructions, certifications, and recording of training records
* Coordinate with Suppliers/Contractors to obtain required documentation/records
* Review documentation and records to ensure consistent data quality and integrity
* Carry out additional duties as required to support business needs
