Facilitate regular communication and act as enabler for GC to execute against department and business strategy. Team overviewAs a department, our core aim is to provide consistent, business-focused quality advice across the Group. This enables us to compete effectively in the market whilst managing risk levels that are both acceptable and fully understood by the business. Requires an in-depth understanding of the business and key contacts and an ability to apply that knowledge in a day-to-day role. Prioritisation of tasks and emails, ensuring this priority is clear and understood. Providing suggested solutions to delegate to help improve the manageability of GCs workload. Assistant to act as mouthpiece, confidant to GC and responsible for flowing down department strategy. Help department restructure priorities to meet departmental goals set by GC. Processing and maintaining records of confidential whistleblowing reports Co-ordinating annual reviews for direct reports and processing all pay reviews and bonuses Organisation of telephone conferences / web sessions / video conferences Planning and organisation of trips and preparation of travel expense reports Management of practising certificate and subscription renewals Coordination, organisation as well as preparation and follow-up of national and international meetings/reviews (internal & external) incl. recording and tracking of action plans Responsible for assisting GC in executing against strategic plan. Planning and co-ordination of management meetings and Department meetings annually, which involve international travel for participants. Preparation of presentation documents working with Head of GLC Operations Processing of orders Minute taking and action tracking General administrative tasks, ensuring GC office runs smoothly. Close cooperation with internal and external partners Release of holiday applications, sick leave, vacancies and contract offers in consultation with the personnel manager Skills required Predominantly independent working style and good organisational skills Excellent communication skills and assertiveness Stress resistance and the ability to stay calm under pressure Flexibility in approach and ability to accept and adapt to changing plans and priority.
