Role Responsibility: OMU Supervisor Care and Rehabilitation Services HMP Five Wells, Wellingborough, NN8 2NG Salary £25,906.00 per annum Permanent - Full Time (40 hours per week) Benefits: Company Pension, free on-site parking, on-site canteen, ongoing training and development and access to High Street Shop discounts. HMP Five Wells in Wellingborough is setting a new standard for new build prisons of the future, using forward-thinking design and technology. The Prison is the UK’s first purpose-built, new resettlement Prison. After opening in 2022 it is a one of a kind new generation category C new build Prison for the future and has become an integral part of the local community. G4S Care & Rehabilitation Services (CaRS) already successfully manages 4 prisons, one secure training centre and a number of community contracts in England and Wales. The philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. We seek to normalise prison conditions as far as possible to reflect life in the outside community. Our aim is to create an environment in which staff and prisoners feel safe. We now an an opportunity for an OMU Supervisor to join our team at HMP Five Wells to act as Senior Case Administrator reporting directly to the OMU First Line Manager. The role involves the checking and compilation of various mandated processes within the OMU department’s Case Administration team. The role will act as deputy to the First Line Manager in regard to Custody work and will hold responsibility for checking and ensuring compliance with Sentence Calculation PSI’s/ Policy frameworks/ Guidances. In addition to the standard case administrator role, the role involves the management of an allocated caseload. Some of the key responsibilities are; Organise, produce and maintain accurate records for the area of work e.g. checklists etc. Undertake the transactional activity associated with the Offender Management function. This includes processing the following paperwork ready for checking and onward transmission by the FLM/HOMS. This can include work in any of the following areas: Sentence calculations, including conduct initial checks Release on Temporary License (ROTL) Home Detention Curfew (HDC) Multi-Agency Public Protection Arrangements (MAPPA) Assist POM’s with things such as Re-categorisation Appeals OCA Violent Sex Offender Register (VISOR) Adjudications Indeterminate Sentence Prisoners Parole Correspondence including parcels, letters, emails, functional mailbox cover Licence Applications Prisoner Fines Foreign Nationals/Deportation/Immigration Licence recalls Public Protection Record organisation and storage Ensure completion of mandatory daily tasks list and tasks have been allocated fairly within the team. Ensure all release and transfer paperwork has been completed by the team. Will hold responsibility for checking and ensuring compliance with Sentence Calculation PSI’s. Correspond with relevant stakeholders and agencies to ensure that they are aware of information and that it is adequately shared e.g. liaison with PPCS case managers for specific parole cases. Maintain and check establishment databases, manual filing systems and logs of information with responses within timescales, producing reports as required e.g. Data quality, Caseload databases, HDC Logs etc. Arrange any meetings including the preparation of paperwork, minutes and action points e.g. Monthly OMU Meetings, IRMT. Act as specialist administrator and continue to develop skills and understanding of all processes. Act as a mentor/induction co-ordinator for all new starters within the function, working to develop their initial skill set and work to increase knowledge and capability. Identify any areas of concern/deficit and advise the FLM at the earliest opportunity. In conjunction with the FLM to review new and existing process and provide specialist advice and consultation to the Head of Department for and during discussions about new processes and planning decisions. Investigate and report upon administrative errors within the department adopting an objective problem solving approach to issue resolution. Undertake various other management/administrative tasks Provide a full administrative service so that the needs of the functional/departmental team are met. Maintain effective work systems, ensuring that all correspondence and documentation is dealt with in a professional manner that meets audit requirements. Deal with all routine queries so that an appropriate response is provided. Act in accordance with security and operational instructions at all times to ensure the maintenance of security within the secure environment. (As required by secure establishments). Assist in the promotion of creating a positive Health & Safety culture across the site leading by example, this includes reporting accidents and near misses in a timely manner and follow all applicable safe systems of work for the role. The Ideal Candidate: With strong verbal and written communication skills the successful candidate must have practical knowledge and experience in Custody work including a proven record of sentence calculation together with other Case Administrative functions. They must also be able to evidence that they have been working in that environment for over 12 months.
