PURPOSE OF THE POST : Provide efficient and effective PA support to the Headteacher and the efficient operation of the school. DUTIES AND RESPONSIBILITIES Acknowledge and/or deal with correspondence and other issues of an administrative nature as directed by the Headteacher on complex issues, or without direction on less complex issues; Arrange meetings on behalf of the Headteacher and co-ordinate all practical arrangements, ensuring agendas and supporting papers are distributed accordingly and in good time; Arrange travel and, where required, accommodation for the Headteacher; Attend and accurately minute meetings as required by the Headteacher and distribute these accordingly; Carry out specific projects and research as directed by the Headteacher; Contribute to effective working and collaboration by ensuring effective communication between the Headteacher, their teams and the Trust; Co-ordinate recruitment processes in consultation with the Trust and the Headteacher; Ensure the Headteacher is well prepared for meetings, that they are fully briefed and in receipt of relevant papers in good time; Keep the academy’s website up-to-date in consultation with the Trust and in accordance with relevant legislative requirements; Line Management of the administration team and reprographics; Maintain the academy’s calendar of events and activities; Maintain the academy’s SEF, Improvement Plan and Pupil Premium Strategy as directed by the Headteacher; Maintain the filing systems of the Headteacher, ensuring documents are well organised and accessible; Manage the e-mails and communications of the Headteacher; Proactively maintain and monitor the diary of the Headteacher; Provide an efficient and effective secretarial, organisational and administrative support service to the Headteacher and Senior Leadership Team; Receive and make telephone calls on behalf of the Headteacher and deal with general enquiries and redirect calls where necessary; Receive visitors to the school, providing hospitality as required; Seek out, gather and present information to the Headteacher as requested, including key management and financial information; Support the organisation of significant school events as required by the Headteacher; Support the Headteacher with admissions, suspensions and permanent exclusion processes; Support the work of the Headteacher, assisting them as required to discharge their role efficiently and effectively; SAFEGUARDING Know and understand the checks required for all staff, and all other adults in the school, including visitors, volunteers and contractors; Ensure that the single central record indicates that all the required pre-appointment and vetting checks for staff and visitors, volunteers and contractors have been made;
