Joining the Project Management team and reporting to the Programme Director, the Project Administrator will be responsible for providing an oversight and coordination of projects to ensure governance and assurance across the portfolio. The Project Administrator will provide support to the business from launching projects to closure. Providing ad-hoc support in document submission, filing and auditing for high-value contracts where required. Where and when capacity exists, the Projects Administrator will have opportunity to oversee and deliver internal trials, demo or small research and development projects – providing an opportunity to develop core Project Management Skills for career progression.
Key Responsibilities:
* Support the generation of a dashboard for project adherence, inc. undertaking audits of artefacts and change management process.
* Assist the project management team (where required) to keep master schedules up to date with progress and changes.
* Set up and manage action log following Project Management Reviews
* Ensure new contracts (to be executed as projects) are set up correctly in the MRP systems and PMO repository system, to process changes to those contracts as they arise and to co-ordinate timely invoicing with the finance team.
* Working closely with business functions to expedite specific milestones in line with contractual requirements.
* Responsible for the timely closure of projects, working with the functions to close out remaining actions, ensuring appropriate handover activities have been completed to get off contract.
* To assist the Project Scheduler with resource planning (RP) and reporting.
* Create and maintain a document register (for projects that require them) for auditing and document control.
* Handle all incoming and outgoing documents (where requested), ensuring all records are up to date and traceable and change requests are created.
Additional Responsibilities:
* Support and assist colleagues as required in the support of milestones and deliverables.
* Develop a basic knowledge of all products delivered by Chess.
* Participate in and contribute to continuous business improvement.
* Complete all administrative actions on time and accurately including status reports and annual mandatory compliance training modules.

Essential
