The Dental Service provides a wide range of treatments to a diverse group of people across five clinics (Wisbech, Ely, Peterborough, and Huntingdon). This frontline role requires excellent interpersonal and communication skills to manage patients with complex needs and language barriers.

Working as part of a team of receptionists, you will greet and attend to patients and visitors, handle telephone calls (including the emergency line), and book appointments across the five clinics. You will maintain patient files, manage diaries, cancel and reschedule clinics, and undertake all administrative tasks accurately and timely.


Key Responsibilities

* Greet patients and visitors in a professional and organised manner.
* Answer telephone calls (including the emergency line) and book/recall appointments.
* Produce and maintain patient files and records with attention to detail.
* Book, reschedule, and cancel appointments/clinics on short notice.
* Manage the waiting room, informing patients of delays.
* Maintain the appointment system and ensure optimal utilisation of surgery time.
* Record referral/communication correspondence in patient notes and action accordingly.
* File all letters and correspondence in the appropriate place.
* Prepare and maintain patient records accurately.
* Prioritise workload and work proactively with the team to meet deadlines.
* Maintain administrative systems and ensure good working practice.
* Use judgment and analytical skills to anticipate patient needs.
* Maintain reception area and overall site presentation.
* Handle cash collection, cashing up, banking, and record all necessary details.
* Maintain patient confidentiality at all times.
* Participate in professional development, appraisal and KSF process.
* Comply with NHS code of conduct and attend appropriate meetings.
* Encourage, motivate and support team members.


Qualifications & Skills

* Excellent communication and interpersonal skills.
* Strong organisational and time‑management abilities.
* Proficiency in computer use for patient data entry, payment transactions and other administrative tasks.
* Ability to work independently and manage department administration when required.
* Knowledge of record‑keeping, cash handling and banking procedures.
* Experience working in a busy reception environment with high patient volumes.
* Knowledge of NHS code of conduct and compliance requirements.
