Purchasing and Inventory Administrator
Location: Office based - Barnsley
Experience Required: Minimum 12 months in a purchasing, supply chain, or inventory administration role
We are seeking a proactive and detail‑driven Purchasing and Inventory Administrator to manage end‑to‑end purchasing and inventory control across all company locations. This role is essential to ensuring smooth operations, accurate stock management, and strong supplier performance. You will work closely with internal teams and external suppliers to maintain efficient procurement processes and support business growth.
Key Responsibilities
1. Create and process Purchase Orders for materials, including expediting where required
2. Provide operational support for production, scheduling, and purchasing forecasts
3. Carry out administrative duties to support supplier contract maintenance
4. Chase suppliers for Purchase Order delivery updates
5. Track orders and ensure timely deliveries
6. Update internal databases with order details and delivery information
7. Maintain and update accurate inventory records
8. Monitor stock levels and raise orders when required
9. Report and investigate stock discrepancies
10. Analyse inventory trends to support future purchasing decisions
11. Maintain adequate inventory levels to meet customer demand
12. Collaborate effectively with the purchasing team and internal stakeholders
13. Ensure all Purchase Orders meet authorisation requirements
14. Support investigations into shortages or missing items identified in the warehouse
15. Maintain KPI reporting and analyse supplier performance (e.g., OTIF, unfulfilled POs, internal service time, supplier quality)
16. Ensure compliance with ISO 9001 standards and contribute to process improvements
17. Adhere to all QHSE policies and procedures
18. Uphold ethical standards and comply with all relevant laws and regulations
19. Ensure all orders include accurate dates to support inbound goods forecasting and warehouse capacity planning
20. Work daily reports for overdue or unfulfilled deliveries to reduce outstanding POs
21. Keep reporting information up to date, including invoice queries and other departmental reports
22. Conduct weekly reviews of open supplier complaints and non‑conformances
What We’re Looking For
23. Minimum 12 months’ experience in purchasing, supply chain, or inventory administration
24. Strong organisational skills and attention to detail
25. Confident communicator with suppliers and internal teams
26. Ability to analyse data and produce clear reports
27. Experience working with ERP or inventory management systems
28. A proactive approach to problem‑solving and continuous improvement
