Ashton Recruitment require an Office Administrator person for our busy client based in Hollywood.
Position: Office Administrator with reception duties
Location: Holywood
Duration: Temporary for 8 weeks (with a chance of extension)
Rate of Pay: £14.93 - £15.67 per hour
Hours of Work: Full time Monday-Friday, 08:30-16:30
Duties include (but not limited to):
* To receive, advise and assist visitors to the school as required in a prompt, pleasant and professional manner.
* To operate the door entry access system (VPass) and allocate visitor/contractor passes and pupil door passes.
* To operate the telephone switchboard system.
* To record (a) pupil absences (considering notification received through the Iris ParentMail System (b) to record pupils who have signed in late/left early (using the VPass system) throughout each day on Lesson Monitor on the School Management System (SIMS).
* To record details of pupils' permission to be absent e.g. school trips (notified by staff), medical appointments (notified via Iris Parentmail) etc on SIMS.
* To highlight pupils signing out without permission and those not signing in through VPass and advise relevant staff of this accordingly.
* To coordinate response returns from parents/staff/pupils, for example - relating to attendance at school events such as Prize Day and providing administrative assistance as required.
* To comply with the school's Data Protection Policy and best practices for Data Protection to ensure that all personal data is secure and only released as appropriate.
* To communicate the protocol for lost property within the school including timeframes for storage and contact obligations.
* To receive (and return to owner) articles lost in school, inspect articles and contact pupils and/or parents when identification is known.
* To provide cover for the Office Manager during lunch breaks and at other times. In addition, to be in attendance on a small number of specific events outside School Office hours such as the SEAG Transfer tests and Open Morning.
* To participate in the Annual Review Process for non-teaching staff
Essential Criteria:
* Proven experience as a in a previous role
* Experience as an educator is a plus
* Knowledge of administrative processes of schools
* Ability to use computers (e.g. MS Office) and education management systems
* Excellent communication skills
* Outstanding organizational ability
* Attention to detail
* Problem-solving and conflict resolution skills
* Good judgment and decision-making aptitude
