The Receptionist is responsible for providing a professional and welcoming first point of contact for the organisation, while ensuring the efficient operation of the switchboard, reception area, post room, and associated administrative functions. The role supports the smooth day-to-day running of the office and maintains high standards of customer service, organisation, and compliance.
Job Responsibilities
Reception & Switchboard Duties
* Act as the first point of contact for all visitors, clients, contractors, and callers, always representing the company in a professional and courteous manner
* Answer all incoming telephone calls promptly and professionally, screening and directing calls to the appropriate person or department
* Ensure visitors sign in according to company procedures and are informed of relevant office arrangements, including fire evacuation procedures, facilities, and amenities
* Maintain the reception area to a high standard, ensuring it is clean, tidy, and presentable at all times
* Liaise with Security to ensure appropriate access and visitor management
Post Room Responsibilities
* Manage daily postal deliveries and collections
* Check all outgoing mail daily to ensure overseas and inland post is correctly separated to avoid additional Royal Mail handling charges
* Maintain sufficient credit on the franking machine
* Order franking machine supplies, including labels and ink cartridges
* Arrange servicing and maintenance of the franking machine as required
Office & Facilities Support
* Ensure meeting rooms are clean, tidy, fully stocked, and whiteboards are cleaned
* Manage meeting room bookings as required
* Maintain the stationery room, ensuring it is organised and adequately stocked
* Book taxis and manage pool car bookings when required
* Liaise with internal teams to support the effective running of office facilities
Administrative & Financial Support
* Create purchase orders as required
* File stationery-related paperwork and invoices accurately upon receipt
* Carry out printing, laminating, and document binding as requested
* Provide general administrative support and complete ad hoc tasks as requested by colleagues
Compliance, Health & Safety
* Ensure adherence to all company policies and procedures
* Remain up to date with policies and acknowledge completion when required
* Support health and safety procedures, including fire and evacuation processes
* Maintain confidentiality and comply with data protection and GDPR requirements
