Job Description
An exciting vacancy has opened for an experienced Project Manager responsible for managing project scope for large-scale events. The role involves monitoring progress against the project plan, resolving operational issues, and ensuring end-to-end event execution from design to closure.
The Project Manager will ensure successful and profitable event execution by adhering to Technical and Production Standards and supporting process implementation to ensure consistency. The role requires collaboration with Project Management, Sales, and Operations teams to determine technical requirements and communicate the event execution plan. Reporting will be to the Director of Project Management or General Manager, depending on region.
Key Job Responsibilities
1. Event Project Management
2. Prepare and communicate production schedules, scope, and responsibilities to team members, vendors, and venue partners.
3. Determine and secure necessary resources.
4. Maintain client focus by attending meetings, documenting details, and addressing concerns.
5. Monitor and adjust project scope as needed.
6. Assist teams in technical planning and equipment needs.
7. Create technical diagrams when required.
8. Review sales documents to ensure technical needs are met.
9. Develop strong client relationships and provide excellent service.
10. Lead technical teams on events.
11. Ensure all health, safety, and environmental documentation is in place.
1. Event Execution
2. Act as the onsite project leader and client contact.
3. Manage all technical phases from load-in to load-out.
4. Oversee inventory management during events.
5. Communicate plans and expectations clearly to the team.
6. Manage onsite changes effectively.
7. Mentor team members and promote best practices.
8. Ensure compliance with technical and safety standards.
9. Follow health and safety regulations and company policies.
10. Follow up with clients onsite to ensure satisfaction and proper equipment setup.
1. Financial Management
2. Assist in creating and managing the project budget.
3. Control costs and communicate changes for billing.
4. Complete post-event invoicing and ensure timely vendor payments.
5. Minimize liability and property risks through policy compliance.
1. Administrative & Training
2. Complete post-event reporting and workforce documentation.
3. Participate in developing Project Management SOPs.
4. Review and analyze proposed events for feasibility and planning.
