About the role - We are looking for a Sales & Office Administrator to join our team in Verwood.
A varied and hands-on role supporting the Managing Director, Sales & Marketing, with day-to-day administrative, sales, office, and facilities responsibilities. The position combines Sales Administration, Office Administration, and Facilities/Health & Safety coordination to ensure the smooth and efficient running of the business.
In this varied role, you will be working alongside the Managing Director, Sales & Marketing, supporting them in everyday admin tasks.
You will be responsible for contributing to a safe, clean and tidy workplace, assisting team members with their queries, carrying out reasonable management requests to support other teams and tasks.
Key responsibilities include, but are not limited to:
Sales Administrator
* Efficiently respond to all incoming communication from customers and colleagues; system generated, email and telephone. Investigate and resolve customer queries and complaints (within remit)
* Conduct telesales based on targeted Category Manager's research or Sales team's requests for reactivation of existing customers
* Support NAMs with customer queries eg PODs, order inputting, NLF completion, sending samples
* Responsible for working with the account manager for shopping channels to assist with putting shows together, arranging for samples to be sent and collected, booking the demonstrator, putting on orders on the system and liaising with the warehouse
* Supporting other colleagues with customer related queries and carry out SAP admin such as expiring discounts and discontinued lines
* Working with Category Managers, Supply Chain, China Office and QC to facilitate FOB and customer specific orders
* Contribute to continuous business improvement
Office Administrator
* Receive calls from absent and delayed colleagues, updating Astrow and Line Manager accordingly
* Conduct site induction for all new starters and temporary staff including work experience, ensuring all e-learning is completed as necessary
* Manage confidential and sensitive personal information appropriately and with integrity. Act as note taker in meetings, producing full minutes afterwards.
* Book hotels, lunches, travel etc for meetings/visitors as requested following procedure
* Responsible for taking post to the Post Office and opening/distributing post amongst the office
* Responsible for amenities e.g. ordering tea, coffee, toilet rolls, soap, stationery, paper, printer ink, etc. and office equipment such as photocopiers
* Carry out front of house reception duties, ensuring meeting rooms and showroom are always well presented, and the applicable products/ most recent products are on display. Answer incoming telephone calls, forward as necessary
Facilities Management/Health & Safety
* Be the main contact for building maintenance and cleanliness. Organise preventative maintenance, safe and compliant removal of waste and management of cleaners
* Manage building security, control systems and Astrow
* Maintain record of health and safety checks, fire alarm tests, fire drills, first aid kits, fire extinguishers, detection systems, accident record book, COSHH and qualifications
Any other roles that may be assigned from time to time
About you - We are looking for a pro-active self-starter, commercially astute and with great attention to detail. Determination, resilience and lots of flexibility coupled with a 'can do' attitude are essentials, with the ability to self-motivate and self-teach as well as the ability to work effectively and efficiently under pressure.

The role is full-time (5 days a week, Monday to Friday, 37.5 hours per week) and salary depending on the candidate.
